Job Description
We are seeking a highly organized and detail-oriented Office Assistant with a legal background to support our PACT sites. This role involves providing comprehensive administrative support to the Director of Operations, with a focus on managing tenant-related legal matters. The ideal candidate will possess strong communication skills, experience in handling legal documents, and the ability to coordinate multiple tasks in a dynamic environment.
Responsibilities include but not limited to:
- Provide comprehensive administrative support to the Director of Operations PACT Development, including managing email correspondence, and drafting and distributing memos, letters, spreadsheets, forms, and faxes.
- Plan, organize, and schedule meetings both in-office, off-site, and via videoconference, ensuring all logistical details are handled efficiently.
- Distribute memos and other important documents to NYCHA PACT sites in the Bronx.
- Assist with tenant-related legal matters, including the preparation and management of legal documents, tenant notices, and compliance reports.
- Monitor and ensure deadlines are met, proactively adjusting to changing priorities.
- Coordinate complex scheduling and calendar management, ensuring smooth communication and information flow to senior executives.
- Maintain a professional and positive image for the organization when interacting with tenants, legal representatives, and other stakeholders.
- Provide office support, including document preparation, dictation, spreadsheet creation, faxing, and maintaining the filing system and contacts database.
- Uphold the confidentiality and integrity of sensitive information, particularly related to tenant and legal matters.
Required Knowledge, Skills, and Abilities
- Legal Background preferred
- Experience in handling legal documents, particularly in tenant-landlord law, is strongly preferred.
- A minimum of four years of experience in an administrative role, preferably with experience supporting upper management.
- Exceptional written and verbal communication skills, with a strong emphasis on clarity and professionalism.
- Strong time-management skills with the ability to organize and coordinate multiple projects simultaneously.
- Proficiency with Microsoft Office Suite and the ability to quickly learn new software and systems
- A flexible and adaptable team player who can handle challenges and shifting priorities with ease.
- A high level of integrity and ability to maintain strict confidentiality, especially concerning tenant-related and legal matters.
