Title: Program Administrative Assistant Manager
Location: SBYSP—All Sites
Reports to: Site Administrator/Director

General Responsibilities and Duties:
Responsible for performing assigned administrative duties in an efficient manner to ensure that successful administration of the program is maintain. To assist in the planning, implementation, and supervision of afterschool programs and activities.
Education:
High school diploma. Associate degree preferred with course work in computer, communication, bookkeeping, and general office skills
Qualifications: Office management experience preferred. People skills and ability to interact and manage youth and teen/adolescent clientele. Proficiency with computers and office equipment, knowledge of latest office software such as email, scheduling, word processing and spreadsheet programs. Answering multiline telephone, operating fax, copier, scanner and other office equipment. Ability to plan and execute programming and events, delivering results within parameters of predetermined budget.
Specific Responsibilities and Duties:
- Acts as the face and voice of the program, answers telephones, schedules appointments, takes messages, develops and disseminates information and any other duties as required for programmatic success.
- Types, files, checks all email accounts daily and maintains outside referral log.
- Orders all supplies and maintains appropriate purchase records.
- Recommend and requisition supplies needed for office, projects and or activities.
- Collects all time sheets, checks for signature and submits to Director for processing.
- Performs registration and reception duties.
- Performs all administrative tasks as directed.
- Creates and maintains a medical and mental health records filing/storage procedure.
- Adheres to confidentiality of Medical and Mental Health records to assure patient rights and private health information are protected.
- Assures the work/assigned areas are clean and office equipment is properly maintained.
- Inputs and maintains accurate health, medical, and other relevant information into MIS—management information system.
- Provide guidance and role modeling to members.
- To supervise members and ensure a healthy and safe environment
- Engage parents regarding opportunities and expectations of members, as well as inspire participation.
- Assist and collaborates with school personnel on projects and activities as needed and/or directed.
- Schedules events, maintains schedule of events, coordinates and collaborates events including but not limited to advertising to student body and staff.
- Secures venue, coordinates transportation arrangements, billing and all other items as needed for program or event success as requested by Director/Site Administrator.
- Manages front office and provides support to Director/Site Administrator and staff.
- Complete any required or mandated trainings and/or professional development.
