About this job

RESPONSIBILITIES:

  • Billing of purchase orders for and investigation of:
  • Deliveries
  • Processing billing for IPO (internal purchase orders) and XPO (external purchase orders) and Credits (disputed by the customer or quality side of the order)
  • Vendor Debits
  • Interbranch orders (Separate from IPO)
  • Vendor Directs (Items coming from a vendor directly to the customer)
  • Scrap Billing (Reconciliation of scrap) and Consignments (Few accounts we stock them with 
  • Inventory/product and we bill them for that product)
  • Investigation bills & correcting bills
  • Management of indirect PO’s for the Houston branch.
  • Assists and is a back-up for the receptionist role. 
  • Work Effectively with all departments for maximum efficiency and return on investment in a safe environment. 
  • Interacts directly with Customers, Vendors, and Employees as required. 
  • Verifies accuracy of billing data, correcting any errors.
  • Generates shipping labels and billing documents.
  • Perform data entry into spreadsheets as required – credit and scrap edits go into logs.
  • Assist other departments with projects or tasks as needed.   
  • Participate and complete all required training activities. 
  • Ensure a safe and clean work environment is always maintained. 
  • Identify areas for continuous improvement for all duties. 
  • Perform all other duties as assigned or directed. 

ROLE REQUIREMENTS:

  • Good organizational and communication skills. 
  • Ability to multi-task and adapt quickly to changes as well as maintain a high level of attention to detail.   
  • Must have strong organizational, time management and interpersonal skills and be able to prioritize work. 
  • Ability to work independently and identify and solve problems. 
  • Basic understanding of clerical and administrative procedures.

EQUIPMENT KNOWLEDGE:

  • Proficient in Microsoft Office Suite or similar software.

PHYSICAL DEMANDS:

  • Ability to sit or stand for extended periods and perform computer-related tasks.
  • Occasionally lift and move boxes or office supplies weighing up to 20 pounds.
