Executive Assistant / Operations Coordinator
Location: Houston, TX (On-Site)
Schedule: Full-Time | Monday–Friday, 7:30 AM – 4:30 PM

We’re looking for an Executive Assistant / Operations Coordinator who thrives on structure, efficiency, and getting things done. If you’re the type who loves streamlining chaos, improving systems, and supporting leadership to move the company forward — this is your role.
What You’ll Do
Support Leadership & Operations
- Directly assist the VP/GM with scheduling, meetings, follow-ups, and logistics.
- Track and report KPIs for production, operations, and company performance.
- Help standardize systems and eliminate inefficiencies across departments.
Administrative Excellence
- Process pick tickets, invoices, purchase orders, and backorders accurately in the ERP.
- Maintain up-to-date digital and physical files for inventory, vendors, and customers.
- Prepare and deliver reports for leadership and departmental heads.
Customer & Vendor Communication
- Respond to customer and vendor emails, calls, and texts within two business hours.
- Route and resolve delivery or product issues through documented processes.
- Maintain professional, clear, and positive communication at all times.
Operational Coordination
- Monitor warehouse staging and ensure pulled inventory is properly handled.
- Schedule equipment maintenance (forklifts, trucks, HVAC, IT, etc.) and verify completion.
- Oversee logistics for vendor drum returns and product samples.

What We’re Looking For
- 2–3 years of experience in administrative, operations, or office support roles.
- Advanced skills with Microsoft Office Suite and experience using ERP systems.
- Organized, detail-oriented, and obsessed with follow-through.
- Excellent communication skills (written and verbal).
- Self-motivated, proactive, and able to juggle multiple tasks in a fast-paced environment.
