Sales & Operations Jr. Position

Summary:

This position is responsible for assisting the Carriage House Sales & Team and Director of Events with coordinating, managing, and providing support for weddings, events, meetings, and all other projects involving the Sales and Events Department. This person will work collaboratively with staff of all levels across the organization to coordinate meeting logistics.

Essential Duties and Responsibilities:

Includes the following and other duties may be assigned:

      • Proven ability to work collaboratively with co-workers, clients and external vendors.
      • Demonstrates organizational and time management skills.
      • Remains committed to quality service by maintaining professionalism while taking time to anticipate needs with the goal of understanding co-workers’ and clients’ objectives to exceed customer expectations.
      • Helps to execute and coordinate the setup, service, and breakdown of events.
      • Ensures a seamless turnover from sales to operations.
      • Begin, Execute and Finalize Special Projects that arise during time of employment
  • Administration Tasks for Sales Team:
    1. Print & Put together Sales Wedding Package Folders for Tours
    2. Print Event Calendars for CH Sales Team
    3. Gather competitor menus (event and wedding packages) and updating competitor spreadsheet
    4. Create Event & Wedding Files
      • Updating Event & Wedding Excel Lists
    5. Post content on Social Media (must be approved before posting)
    6. Prep/Stage Carriage House for Tours (if possible)
      • Turn on all lights in building, make sure all tables have linen on them, music is on, temperature is right, Carriage House looks clean and presentable
      • Make sure Sales Area has enough wedding package folders, cookies and is clean/neat/tidy and ready for meetings

    8. Confirming Non-Everbridal Tours for the week


  • Administration Tasks for Operations Team:
    • Making Meeting Packets for Manger Meetings
    • Receiving Vendor Insurance Information / Arrival Times / Load In & Breakdown directions
    • Scheduling Tasting Dates & providing couples with the Tasting Information
      • Making Tasting BEOs
      • Preparing files/paperwork for all Tastings
    • Assisting with Detail Meeting notes
      • Creates and revises room layouts for each event in Social Tables
  • Pre-paring final paperwork for Weekend Events/Weddings
      • Executes, coordinates and/or arranges physical maintenance of facility as required.
  • Setting up items provided by clients day of event/wedding
      • Creating Houseman/Cleaning Staff Task Lists and Oversight of Houseman during their shifts
      • Helps to execute the setup for Seasonal Bridal Shows
