Description
We are seeking a dependable and organized Marketing Assistant to support our home health and hospice marketing and referral coordination efforts. This role will assist in tracking potential patient admissions, gathering essential documentation (such as face-to-face notes and provider signatures), and building positive relationships with referral sources. The ideal candidate is detail-oriented, comfortable with in town travel, and has a passion for improving patient care access.
Schedule: Part-Time, Weekday M-F, Day shift, some weekends for referrals
Key Responsibilities:
- Track potential patient admissions and referral activity using Cortex (or similar CRM/referral platform)
- Coordinate and collect Face-to-Face (F2F) encounter documentation from providers
- Visit physician offices, clinics, and hospitals to obtain signatures on orders, notes, and required forms
- Ensure timely and accurate documentation for Medicare compliance and admission readiness
- Assist with follow-up communication to referral sources and provider offices
- Maintain an organized system for tracking pending and completed documentation
- Collaborate with the clinical and intake teams to ensure smooth onboarding of new patients
- Represent the agency professionally during provider visits and marketing activities
- Support the marketing team in scheduling events, drop-offs, and presentations to promote services
- Perform administrative duties related to marketing and admissions as needed
Requirements
Qualifications:
- High school diploma or equivalent (Associate’s or Bachelor’s degree in Healthcare, Marketing, or Business preferred)
- 1+ year of experience in healthcare, home health, hospice, or a similar setting (preferred)
- Excellent communication and interpersonal skills
- Reliable transportation and valid driver’s license (required for field visits)
- Strong attention to detail and organizational skills
- Comfortable using technology, including referral tracking systems (e.g., Cortex), Microsoft Office, or Google Workspace
- Familiarity with HIPAA guidelines and documentation requirements in home health/hospice is a plus
- Professional, friendly demeanor with a strong sense of accountability
