POSITION SUMMARY:

The Operations Manager is responsible for the daily oversight and coordination of PHRI’s operational functions, including administrative workflows, logistics, staff coordination, and facility support. This role ensures programs run smoothly and efficiently across departments and supports leadership with data-driven decision-making. The Operations Manager plays a key role in identifying inefficiencies, implementing process improvements, and fostering cross-functional collaboration to drive organizational effectiveness.

DUTIES AND RESPONSIBILITIES

  • Manage administrative operations, logistics, and non-clinical workflows across multiple program sites.
  • Supervise support staff and coordinate team assignments, schedules, and tasks.
  • Monitor program delivery timelines, supplies, and documentation compliance.
  • Ensure operational systems are in place to support clinical and administrative departments.
  • Assist in developing policies and procedures for workflow efficiency and compliance.
  • Collaborate with the Facility Manager on equipment, maintenance, and safety needs.
  • Maintain vendor relationships and oversee service contracts.
  • Support budgeting processes, cost control, and resource allocation.
  • Generate operational performance reports and data dashboards for leadership.
  • Facilitate cross-department communication and provide timely problem-solving support.

EXPERIENCE AND QUALIFICATIONS

  • Bachelor’s degree in business administration, healthcare management, or related field.
  • 5+ years of operations or program management experience, preferably in a healthcare or nonprofit setting.
  • Strong leadership, organizational, and project management skills.
  • Proficiency with Microsoft Office, EMR systems, and workflow tools.
  • Familiarity with HIPAA and healthcare regulatory standards.
  • Proficiency in MS Office applications (Word, Outlook, Excel, Adobe) and various business software.
  • Legally authorized to work in the U.S.A.
