Gatehouse & Administrative Support Staff (Live-On-Site Position)
Location: Lake Pillsbury Ranch Community, Mendocino National Forest
Compensation: Free lodging included, plus 8-16 hours per week paid
Position Summary
Lake Pillsbury Ranch Property Owners Association (LPPOA) is seeking a reliable and organized individual for a unique live-on-site role that combines gatehouse responsibilities with administrative support for the Board of Directors. The position begins at 8 hours per week, but for the right candidate with strong administrative skills, it may expand to 16 hours per week.
This role is ideal for someone who values community living, enjoys interacting with residents and guests, and excels in administrative tasks. Lodging is provided on-site in the beautiful Mendocino National Forest.
Key Responsibilities
Gatehouse Duties
- Monitor and manage community gate access
- Greet and assist property owners, guests, vendors, and emergency services
- Issue and track gate cards and codes using the DoorKing system
- Provide maps, directions, and community information
- Respond appropriately to emergency situations and assist fire/medical responders
- Report unauthorized entry to the Board
- Maintain a consistent presence during scheduled gatehouse hours
Administrative Duties
- Prepare and distribute correspondence
- Attend Board meetings and take accurate meeting minutes
- Maintain association records and ensure CC&R compliance
- Manage emails, phone calls, and member communications
- Sell and track materials (gate cards etc.)
- Coordinate with the Bookkeeper to update member information
- Assist the Architectural Committee with tracking and communication
- Maintain clean, organized office, kiosk, and bulletin boards
- Support LPPOA events and prepare the office for meetings
- Provide agendas, board packets, and reports as needed
- Order and manage office supplies and inventory
- Keep logs deeds, contact changes, and transactions current
- Ensure confidentiality and professional communication at all times
- Stay familiar with LPPOA rules, regulations, and CC&Rs
- Attend monthly meetings and provide documentation as required
- Support Board Members and Committee Chairs as directed
- Accurately track time, communications, and tasks
- Promote safety, community engagement, and a positive living environment
Qualifications
- Property Management / Security Background Preferred
- Proficient in computer use and common office software
- Able to work independently and maintain confidentiality
- Willingness to live in a remote, forested area
