An established yet fast-growing leader in ingredient manufacturing is seeking a highly skilled Executive Assistant to provide direct support to the Chief Executive Officer (CEO) and Chief Financial Officer (CFO). Position Summary
The Executive Assistant serves as a key liaison between the CEO, CFO, Board of Directors, and external stakeholders, ensuring seamless execution of high-priority initiatives, communications, and engagements. This role requires exceptional organizational skills, professionalism, and the ability to anticipate needs and manage complex priorities with minimal direction.
Key Responsibilities
Executive & Strategic Support
- Proactively manage and prioritize the CEO’s and CFO’s calendars, commitments, and communications.
- Prepare executive-level presentations, Board decks, and briefing materials with accuracy and clarity.
- Conduct targeted research to support decision-making, external engagements, and strategic initiatives.
- Maintain the highest level of confidentiality in handling sensitive organizational matters.
Board & Stakeholder Engagement
- Coordinate logistics, materials, and confidential correspondence for Board of Directors meetings.
- Serve as a liaison with government offices, agencies, and external partners to ensure seamless coordination and representation of executive leadership.
- Develop and manage communication materials to ensure executives are fully informed and prepared for all engagements.
Operational & Administrative Leadership
- Organize and oversee complex scheduling across global time zones, including travel arrangements and meeting coordination.
- Support executive meetings through agenda preparation, documentation, and follow-up.
- Ensure operational efficiency through proactive problem-solving and process improvement.
Qualifications
- Bachelor’s degree preferred; equivalent experience considered.
- 7+ years of executive administrative experience supporting C-suite leaders in a fast-paced, complex environment.
- Exceptional written and verbal communication skills.
- Proven ability to manage multiple priorities with discretion and professionalism.
- Strong proficiency with Microsoft Office Suite (PowerPoint, Excel, Outlook, Word) and virtual collaboration tools.
- High level of emotional intelligence, professionalism, and integrity.
