We are currently seeking an Executive Assistant to support our Managing Director of Business Operations
Essential Job Functions/Responsibilities:
- Provide full support to Executives who oversee Business Operations
- Manage highly sensitive, confidential information with complete discretion
- Manage executive’s calendar
- Coordinate all travel logistics
- Screen calls for executive and handle inquiries within capacity
- Reconcile and process travel expenses
- Coordinate and prepare arrangements for internal and external conferences, meetings, luncheons and events
- Follow latest news on markets and provide briefings, if appropriate
- Interface with Company Principals, and other senior managers
- Conduct light research as needed
- Potential project work on an ad hoc basis
- Create PowerPoint presentations, if needed
- Recommend ways to help streamline processes and procedures
- Assist executive with administration of Benefits (applications & claims for medical, dental, vision, FSA, etc)
- Handle additional personal and confidential needs and requests
- Assist other individuals in the Investment Department as needed
- Review Investment Department invoices and submit to accounts payable
- Other light administrative support
- Potential project work on an ad hoc basis
- Provide office management support
- Find and schedule vendors for maintenance repairs/needs
- Act as point person on IT issues, etc.
- Order supplies
- Review vendor invoices and submit to accounts payable
- Other duties and responsibilities as assigned
Qualifications:
- Bachelor’s Degree is required
- Proven admin or assistant experience
Skills:
- Proficiency and experience working in Outlook, PowerPoint, Word and Excel
- Willingness to work in a family office
- Has strong organizational, communication (verbal and written) and multi-tasking skills
- Excellent attention to detail
