The File Clerk will ensure mail is indexed appropriately in IVOS and maintain files for the office. Maintain records of documents stored at off-site locations. Handle outgoing mail, file to match documents, and provide photocopies as instructed.
This is an onsite position located in Torrance, CA.
How you'll make an impact
- Sort and scan mail.
- Index mail to appropriate the claim with claim number and Examiner name.
- Index documents into appropriate location within the IVOS database.
- Pull files for Examiners or Assistants for their daily diaries.
- Remove the following from OUT boxes: files to be filed back, mail marked by Examiners to be filed or pulled.
- Upload mail items, as indicated by requestor.
- Upload of mail weekly on closed files.
- Upload faxes and memos.
- Process closed files.
- Transfer and record old closed files to off-premises location.
- Retrieve old files, as requested.
- Complete paper file conversion process.
- Prepare out-going mail.
- Other duties as assigned.
About You
Required: High school diploma; no experience required.
Preferred: One year of administrative experience.
Behaviors: Accuracy and attention to detail. Able to handle multiple priorities.
