Job Title: Remote Operations Assistant (US-Based)
Location: Remote (U.S.)
Time Zone Requirement: Flexible, but must overlap with Japan's working hours
Position Overview:
We are looking for a Remote Operations Assistant to provide essential support for our remote team based in Japan. This role involves assisting with administrative tasks, coordinating schedules, and facilitating effective communication between our U.S. and Japan teams. The ideal candidate will be highly organized, proactive, and able to navigate cross-cultural communication challenges with ease. This is a remote, flexible position that requires someone who is adaptable and can work across different time zones to ensure smooth operations.
Key Responsibilities:
- Administrative Support:
Provide day-to-day administrative assistance, including handling emails, scheduling meetings, managing calendars, and organizing files. - Cross-Time Zone Coordination:
Schedule and manage meetings between the U.S. and Japan teams, ensuring there is effective time zone management and that key team members are available for critical discussions. - Communication Management:
Facilitate communication across teams by relaying important messages, ensuring clarity, and maintaining seamless communication using email, messaging apps (Slack, Microsoft Teams, etc.), and video conferencing (Zoom, Google Meet, etc.). - Project Coordination:
Assist in tracking project progress, deadlines, and deliverables. Help with compiling reports and monitoring the status of ongoing initiatives to ensure deadlines are met. - Cultural Liaison:
Understand and bridge cultural differences between the U.S. and Japan teams, ensuring smooth workflow and efficient team collaboration despite time zone and language barriers. - Data Entry & Documentation:
Maintain and organize documents, spreadsheets, and other records for the team. Assist with data entry and ensuring that the team has up-to-date information. - Ad-Hoc Support:
Provide additional support as required, including organizing team events (virtual or in-person), managing resources, and assisting with any administrative needs that may arise.
Skills & Qualifications:
- Experience:
1-2 years of experience in administrative support or remote assistance, particularly in an international or cross-cultural setting (preferred but not required). - Communication Skills:
Excellent verbal and written communication skills with the ability to communicate effectively with teams across different cultures and time zones. - Remote Work Tools:
Familiarity with remote tools such as Slack, Zoom, Google Workspace, Microsoft Office Suite, and project management tools like Trello, Asana, or similar platforms. - Time Management:
Strong time management skills with the ability to handle multiple tasks and meet deadlines, even when coordinating across time zones. - Organizational Skills:
High level of attention to detail with the ability to keep information organized, maintain files, and track project progress. - Adaptability:
Ability to work in a fast-paced, dynamic environment and adjust to the needs of a remote team. - Cultural Sensitivity:
Comfortable working with diverse teams, especially understanding the cultural nuances between the U.S. and Japan. - Language Skills (Optional):
Basic understanding of Japanese or willingness to learn is a plus, but not required.

- Competitive hourly wage or salary, based on experience.
- Flexible work hours with the option to work around your schedule as long as core working hours overlap with Japan's time zone.
