Workforce Administration Manager

Thurmont, MD

Salary: $90,000 to $100,000 per year.

Workforce Administration Manager will be responsible for leading the workforce administrative function of a Manufacturing plant, which includes HR Operations, Recruiting, Accounts Payable, and other Plant Administration.  This position is also responsible for managing a team of supervisors and administrative professionals, while also providing guidance and support to other plants as needed.  The Workforce Administration Manager will partner with plant leadership to manage programs such as internal and external audits, P-Card, spend management, and business travel arrangements. 


Primary Responsibilities:

 

·       Manage, coach, and develop a team of supervisors and administrative professionals in completion of their daily job responsibilities and ensure timely and accurate support to leadership and hourly employees. 

·       Partner with plant leadership on workforce planning and retention initiatives in support of appropriate staffing levels and a positive workplace culture.

·       Ensure compliance with all rules, policies and procedures in employee records, hourly plant policies, payables, invoicing, and other administrative functions.

·       Provide response to escalated issues regarding Human Resources administrative functions, partnering with appropriate HR, plant leader, and/or Workforce Development contacts to support timely and accurate solutions.

·       Support culture and employee engagement through coordinating employee focus groups, plant events, and trainings.

·       Lead the hourly staffing and hiring process, ensuring a robust and compliant hiring and screening system is in place. Partner with internal stakeholders to determine the most effective recruiting sources and coordinate with external staffing and advertising providers as appropriate.

·       Oversee Accounts Payable function within the plant, reviewing as necessary, to ensure timely and accurate processing of all payables.

·       Ensure proper receiving and ordering of products from assigned vendors; manage and monitor petty cash and reconcile and replenish petty cash as needed.

·       Manage plant contracts and leases and administer plant field check and P-Card processes, ensuring accuracy and compliance with all Accounting and Policy requirements.

·       Manage plant internal and external audit processes, including pre-audit prep, leading communication with corporate or external auditors, gathering of data, and working with plant leadership on results and action items. Provide audit support for other plants as needed.

·       Manage business travel booking for hourly and salary employees from all manufacturing plants, as needed, acting as approver and primary contact for company travel vendor for hourly employees.

·       Oversee the plant spend management process, including tracking expenses, approving payments, identifying spend reduction opportunities, and ensuring other leaders are managing accounts appropriately.

·       Manage DOT compliance for internal hauling resources and partner with company DOT coordinator, plant leaders, and drivers to ensure training and testing requirements are met.

 

Qualifications:  

 

·       Minimum 5 years’ progressively accountable leadership experience

·       Minimum 5 years’ experience in accounting, general office, or Human Resources Administration

·       Bachelor’s or associate degree strongly preferred

·       Strong interpersonal and communication skills, and demonstrated coaching abilities

·       Strong business acumen, with a focus on the overall employee experience

·       Fluent in MS Office tools including Excel, Word, Outlook, Teams, and SharePoint

·       Excellent problem-analysis, critical thinking, and decision-making abilities 

·       Experience working with cross functional teams and a demonstrated commitment to Customer Service 

·       Outstanding reliability, with strong planning and organizational skills 

·       Demonstrated proficiency in managing multiple tasks, setting priorities, and meeting deadlines 

·       Able to travel to other Company locations as needed in support of administrative functions/implementations
