Positional Overview
The Imagine Group is recruiting for a Senior Academic Program Coordinator on behalf of our client, a leading institution recognized globally for its contributions to education, research, and community health initiatives in Baltimore, MD.
In this role, you will be responsible for providing high-level administrative and operational support within the organization. This position plays a key role in managing faculty appointment and promotion processes, coordinating council activities, and serving as a liaison between faculty, deans, department chairs, and administrative staff. You will be working closely with the HR and Academic Affairs teams, this individual ensures all procedures comply with university and Academic Council policies, while maintaining exceptional accuracy, professionalism, and discretion.
Role & Responsibility:
Tasks That Will Lead to Your Success
  • Coordinate Academic Council operations, including scheduling meetings, preparing materials, and maintaining accurate records and minutes.
  • Provide support to ad hoc committees reviewing faculty appointment and promotion cases, including managing external evaluation collection.
  • Draft Academic Council-related correspondence for deans and leadership as requested.
  • Advise deans, department chairs, faculty, and administrators on council policies and procedures related to faculty appointments and promotions.
  • Maintain the Academic Council website and facilitate communications between committees and stakeholders.
  • Oversee the annual election process and assist with Academic Council events such as junior faculty lunches.
  • Provide administrative support to the Homewood Graduate Board, including meeting coordination, document distribution, and recordkeeping.
  • Faculty Human Resources Administration (30%)
  • Support the preparation, review, and distribution of faculty appointment and reappointment letters in collaboration with HR Operations and Compliance.
  • Partner with HR Client Services on faculty recruitment processes, maintaining search documentation and activity in Interfolio.
  • Assist in administering faculty compensation updates, sabbatical tracking, and contract renewals.
  • Ensure accuracy of faculty HR records through regular audits and maintenance of reports on appointments, demographics, and other HR data.
  • Serve as school administrator for Interfolio RPT and maintain compliance with university systems and reporting standards.
Skills & Experience
Qualifications That Will Help You Thrive
  • High School Diploma or GED required.
  • Five (5) years of progressively responsible administrative or academic experience.
  • Additional education may substitute for experience per JHU equivalency formula.
  • Bachelor’s degree preferred.
  • Experience in a university dean’s office, academic department, or executive administrative setting is strongly preferred.
  • Strong organizational and communication skills with exceptional attention to detail.
  • Proficiency in Microsoft Office Suite; familiarity with SAP and JHU systems preferred.
  • Ability to manage multiple priorities, work independently, and maintain professionalism under tight deadlines.
  • Excellent interpersonal and customer service skills with a commitment to diversity and inclusion.
