Job Summary
The Executive Assistant provides high-level administrative and organizational support to the leadership team within the Generator Manufacturing Division. This role ensures smooth day-to-day operations by managing communication, scheduling, reporting, and project coordination.
The ideal candidate is proactive, detail-oriented, and highly organized, with the ability to manage sensitive information and communicate effectively across departments. This position plays a critical role in helping the division's leadership team stay informed, efficient, and focused on strategic goals.
Responsibilities
- Provide administrative and logistical support to the Plant Manager, Operations Director, and other senior leaders.
- Manage calendars, travel arrangements, meeting coordination, and expense reporting.
- Prepare and distribute meeting agendas, minutes, and action item summaries to ensure follow-up and accountability.
- Assist in preparing presentations, reports, and data summaries for executive and cross-departmental meetings.
- Track and organize departmental metrics, project timelines, and performance dashboards for leadership review.
- Support the creation and editing of communications, memos, and announcements on behalf of the leadership team.
- Coordinate cross-functional communication between Manufacturing, Engineering, and Accounting departments.
- Maintain a high level of confidentiality with personnel, financial, and operational information.
- Serve as a point of contact for internal and external inquiries directed to division leadership.
- Assist in the planning and execution of team events, audits, leadership visits, and facility tours.
- Manage document control and assist with policy updates, compliance documentation, and record retention.
- Support continuous improvement and efficiency projects, often assisting with scheduling, documentation, and data tracking.
- Perform other duties and special projects as assigned by leadership.

Qualifications
- 5+ years in Office support
- High school diploma or equivalent required
- Bachelor's degree preferred
- Excellent calendar mgmt. skills including the coordination of complex executive meetings
- Strong knowledge of and experience with the entire Microsoft Office suite
- Valid driver's license
- Excellent verbal and written communication skills
- Excellent organizational and time management skills
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
