Job Description
The Williston Northampton School has an immediate opening for an Administrative Assistant to the Office of Admission to complete the 25-26 academic year. The schedule will be 40 hours per week Monday through Friday, with additional duties on Class Saturdays as well as coverage for special events. Going forward, this position is approximately 42 weeks per year and would be from approximately mid/late August through approximately early/mid-June and is fully benefit eligible. This position is an integral member of the Admission Office Team and is responsible for providing all levels of support to the Admission Office.
The primary responsibilities for this position are: Assist with admission database management, review new inquiries, and processing automated communication to prospective students; Verify and reconcile data; Review, track, and generate all components of student applications submitted online; Communicate with external constituents by phone and email on behalf of the Admission Office; Prepare admission decision letters; manage the return of important documents; Send out all admission packets and materials to all inquiries; Send all pertinent new student information to the appropriate departments; Schedule appointments for interviews with Admission Officers; Coordinate all admission events: support all events, to include, Open Houses, Welcome Days, Special Visit Days, consultant visits, and off campus events; coordinate staff attendance at events; coordinate logistics such as name tags, invitations, catering, and hospitality; Serve as support for other administrative staff within the Office of Admission when needed; Act as liaison with other offices/departments on behalf of the Office of Admission. The qualified candidate will have 2-3 years of similar experience preferably with direct experience/knowledge of the admission process and/or independent schools. Must have strong data entry experience and event coordination planning. Must have the ability to work intuitively and independently as well as part of a team, demonstrated writing and interpersonal skills. Solid working knowledge of Word, Excel, Internet. Positive appearance, attitude and presentation with a strict sense of confidentiality. Must have the ability to work in a school environment by successful completion of all legally required and school required background checks including the state mandated CORI, Criminal Offender Record Information, SORI, Sex Offender Record Information, and fingerprint based criminal background check.
