Medical Front Desk Specialist
Location: 2340 E Meyer Blvd, Building 2 Suite #480, Kansas City, MO (with travel to Harrisonville and Shawnee 2-3 times per month - mileage reimbursed)
Schedule: Monday-Friday, 8:00 AM - 5:00 PM
Overview
The Front Desk Specialist serves as the first point of contact for patients, visitors, and providers. This role is responsible for managing patient check-in and check-out, handling incoming calls, verifying insurance, collecting payments, and maintaining accurate and timely records in the EHR system.
The ideal candidate is professional, detail-oriented, and thrives in a fast-paced environment. This position also includes floating 2-3 times per month to support nearby clinic locations.
Primary Daily Responsibilities
Answer and direct phone calls promptly and professionally
Page physicians for in-patient hospital calls and route calls to appropriate staff
Perform front desk check-in/out duties, including:
Updating patient demographic information
Verifying insurance coverage and collecting copayments/outstanding balances
Scanning insurance cards and identification
Scheduling appointments and updating EHR documentation
Indexing and scanning documents for timely charge entry
Preparing paperwork for upcoming appointments and mailing forms to patients as needed
Completing End of Day verification and prepping next-day documentation
Handle provider recalls (including NPP) and assist with recall management across the team
Primary Weekly/Monthly Responsibilities
Coordinate with Patient Advocate and New Patient Clinical staff on new patient onboarding processes
Prepare and update New Patient (NP) packets
Assist with scanning, patient callbacks, and administrative follow-ups
Attend and actively participate in staff meetings
Travel 2-3 times per month to support Harrisonville and Shawnee (mileage covered)
Key Qualifications
Must-Haves:
Strong communication and customer service skills - ability to interact professionally with patients, providers, and staff
Excellent attention to detail and organizational skills
Ability to multitask efficiently in a fast-paced environment
Reliable, flexible, and able to work independently while supporting multiple locations
Nice-to-Have Skills:
Previous experience in a medical office or healthcare setting
Familiarity with EHR systems
Knowledge of insurance verification and billing processes
