Job Description
Full-Time Centralized Receptionist needed for busy clinical areas.
The Medical Receptionist is the first point of contact for patients and visitors, responsible for providing outstanding customer service while efficiently managing front-desk operations. This role supports the medical office by handling patient scheduling, registration, and administrative tasks to ensure a smooth and organized workflow for both patients and healthcare staff. For this location the phones and appointments will be handled for multiple offices within the Pat Wall RHC.
Key Responsibilities
· Greet and check in patients in a courteous and professional manner.
· Schedule, confirm, and reschedule patient appointments using the practice’s scheduling system.
· Verify and update patient demographics, insurance information, and contact details.
· Collect and process co-pays, payments, and billing information accurately.
· Answer, screen, and route phone calls; respond to patient inquiries and messages promptly.
· Prepare and manage patient charts, ensuring confidentiality and compliance with HIPAA regulations.
· Coordinate communication between patients, physicians, nurses, and other healthcare team members.
· Manage incoming and outgoing mail, faxes, and medical records requests.
· Assist with patient forms, referrals, and authorizations as needed.
· Maintain a clean and organized reception and waiting area.
· Support the office with administrative tasks such as filing, scanning, and data entry.
Requirements:Qualifications
- Education: High school diploma or equivalent required; associate degree or medical office training preferred.
- Experience:
- 1–2 years of experience in a medical office, clinic, or healthcare setting preferred.
- Familiarity with medical terminology and insurance procedures is a plus.
- Skills:
- Excellent communication and customer service skills.
- Strong attention to detail and ability to multitask in a busy environment.
- Proficiency with electronic health record (EHR) systems and Microsoft Office applications.
- Knowledge of HIPAA and patient privacy standards.
- Professional appearance, positive attitude, and team-oriented mindset.
- Schedule: Full-time / Part-time / PRN / Monday–Friday / Occasional weekends or extended hours as needed.
- Physical requirements: Prolonged sitting, frequent use of computer and telephone, occasional lifting of up to 20 lbs.
