Job Description
General Contractor has an immediate opening for a Full-Time, In-Office Administrative Assistant with a focus on Construction Badging to join the Compliance Team in its Ramsey, NJ office.
Primary Responsibilities
- Compliance Badging (75%)
- Serve as a liaison between the project team, subcontractors, and office staff to ensure required badges are issued to all authorized personnel for all relevant jobs
- Run and manage background check process for badging purposes
- Maintain organizational logs to track badging requirements, needs and distribution
- Other Compliance-Related Tasks (25%)
- Perform administrative tasks including data entry, filing, scanning, printing, and copying as needed.
- Maintain and update subcontractor contact information and databases.
- Track and manage subcontractor licenses, certifications, and compliance documentation.
- Communicate regularly with subcontractors, architects, owners, local building departments, site superintendents, and other stakeholders.
- Support additional projects and administrative duties as assigned.
Skills & Qualifications
- Strong verbal and written communication skills.
- Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook; experience with Timberline and Elation is a plus.
- Highly organized with exceptional attention to detail.
- Sound judgment with the ability to make timely, well-informed decisions.
- Ability to work independently as well as collaboratively within cross-functional teams.
- Capable of processing requests efficiently in a fast-paced environment.
- Customer-service oriented with a professional demeanor.
- Self-motivated, dependable, and deadline-driven with a strong work ethic.
- Proven ability to manage multiple priorities while maintaining accuracy.
