JOB SUMMARY
Under the direct supervision of the Senior Administrative Manager, the Senior Administrative Associate provides high-level administrative support to the Chief Operating Officer (COO) and Chief Administrative Officer (CAO). This role requires exceptional organizational skills and advanced proficiency in technology tools. The position involves coordinating complex schedules, preparing professional presentations, and managing projects with accuracy and discretion.
ESSENTIAL FUNCTIONS
- Coordinates and manages calendars for the COO and CAO, including scheduling meetings, preparing and providing any supporting documentation for meetings.
- Prepares and designs PowerPoint presentations and other materials for executive meetings.
- Utilizes current technology tools and software to complete assigned projects efficiently.
- Reviews, prioritizes, and manages email communications for executives.
- Arranges travel and prepares itineraries as needed.
- Acts as a liaison between executives and internal/external stakeholders.
- Conducts researches, summarizes reports, and assists with special projects as directed.
- Drafts and edits correspondence, reports, proposals, and meeting minutes.
- Ensures timely communication of meeting arrangements and provide supporting documents for leadership teams.
- Performs other duties as assigned.
MINIMUM REQUIRED EDUCATION AND EXPERIENCE
- Must have high school diploma or equivalent.
- Minimum of four years of administrative experience.
- Strong written and verbal communication skills in English.
- Advanced proficiency in Microsoft Office Suite and other productivity tools.
DESIRED QUALIFICATIONS:
- Completion of a clinical program with a Masters' degree.
- Hold a clinical license or current intern registration issued by appropriate state agency consistent with standards for license eligible or waiver status.
- Experience in crisis intervention and stabilization.
- Basic knowledge related to modern managment practices and techniques, and the ability to supervise and coach other staff.
POSITION/PROGRAM REQUIREMENTS
- Must possess a valid California driver's license, personal automobile insurance and driving record that meets the standards outlined in the Agency’s Policy: Motor Vehicle Operating Standards.
- Must be physically and mentally fit in accordance with the Agency’s Policy: Physical Fitness Standards and Examinations. Must be willing to complete a Tuberculosis (TB) test and drug screening test.
- Must be willing to complete a personal background investigation conducted by the State of California.
- Must be willing to work within a culturally integrated workplace and be willing to respect human differences based upon protected classes as defined by state, federal and local laws, or any other condition that distinguishes people from one another.
PHYSICAL REQUIREMENTS
- Have an adequate range of body motion and mobility to work in an office or outdoor environment including standing and walking (even and uneven surfaces), alternating between standing and sitting for extended periods of time, bending, kneeling, twisting, reaching balancing and occasional carrying and lifting up to 25 pounds occasionally, and up to 10 pounds frequently.
- Physically able to walk up and down stairs routinely.
- Must be able to sit for prolonged periods of time in a vehicle (may be up to 100 miles driving distance).
- Requires the ability to utilize computer and telephone systems, which includes the coordination of eye and hand and fine manipulation by the hands and fingers for typing, writing and working with files.
COMPENSATION:
- Hourly Range: 24.63 - $33.86 (actual pay is dependent on verification of applicable experience above the minimum qualifications for the role)
