Salary:
Accounts Payable (AP) Specialist
The Accounts Payable (AP) Specialist is responsible for accurately processing vendor invoices, maintaining AP records, and ensuring timely payments in accordance with company policies. This role plays a critical part in supporting financial operations, maintaining strong vendor relationships, and ensuring compliance with accounting standards.
Key Responsibilities
- Process and code vendor invoices accurately and in a timely manner
- Maintain detailed AP tracking schedules and ensure payments are processed accurately without duplication(Key Responsibilities)
- Match invoices to purchase orders and receiving documents (3-way matching)
- Resolve invoice discrepancies and communicate with vendors as needed
- Prepare and process weekly/monthly payment runs (ACH, checks, wires)
- Maintain accurate vendor records and update payment information
- Reconcile vendor statements and AP aging reports
- Assist with month-end and year-end closing activities
- Ensure compliance with internal controls, company policies, and accounting standards
- Respond to internal and external AP-related inquiries
- Assist with audits by providing documentation and explanations as required
- Proficient in Microsoft Excel, including using spreadsheets for AP tracking and reconciliations(Qualifications)
- Ability to handle multiple priorities in a deadline-driven environment(Work Environment)
Qualifications
- Associates or Bachelors degree in Accounting, Finance, or related field (preferred)
- 2+ years of accounts payable or general accounting experience
- Strong knowledge of AP processes and accounting principles
- Experience with accounting software/ERP systems (e.g., SAP, Oracle, NetSuite, QuickBooks)
- Proficient in Microsoft Excel and other Microsoft Office applications
