Brooklyn Public Library’s Adult Learning Department seeks an energetic and enthusiastic Part-Time Administrative Assistant to promote various Business & Career Center (B&CC) programs, services, and resources. The ideal candidate will have experience providing administrative support and conducting outreach to diverse communities.
The Part-Time Administrative Assistant is responsible for supporting the Programs Teams and various B&CC programs, projects, and initiatives at Central and throughout the branches. The Part-Time Administrative Assistant will work closely with the B&CC Specialist by providing administrative and programmatic support to achieve program goals. Three locations including Bedford, Central, Sunset will serve as sites for outreach/information sessions, programming, and participant support including office hours/one-on-one sessions. With a key focus on rolling out Grow with Google professional courses and certificates (Project Management, Cybersecurity, Data Analytics, etc.) and training (Ai Essentials), the Part-Time Administrative Assistant will work with others to ensure that the program is marketed widely, participants are supported online and onsite consistently, and that program deliverables, outputs, and outcomes are met. The B&CC Part-Time Administrative Assistant will report to the B&CC Specialist.
This is a part-time, temporary, grant-funded position. The salary range for this position is $23 - $25 per hour for up to a 19-hour workweek. The grant end date is June 30, 2027.
Key Responsibilities
Offers specialized office and administrative support for the B&CC Specialist and other program or departmental staff
Plans, coordinates, and organizes office activities, including in-person and virtual programming activities
Supports information sessions, public programs, and personalized one-on one efforts to inform, encourage, and help patrons and participants complete courses
Coordinates flow of communications and information for the B&CC Specialist and other program or departmental staff
Provides internal and external customer service with professionalism
Prepares and maintains manual and automated records and reports
Contributes to updates, grant reports, and presentations as well as proposals
Uses program management and other platforms (ex. Coursera) and software
Serve as a proctor for various certification exams including tech certifications
Creates and updates program materials in print and online
Manages email accounts and mailing lists; communicates with stakeholders
Assists in program outreach activities internally and externally
Other duties as needed
Qualifications
Required
High School degree or equivalent
2 years of experience in an administrative or related role
Successfully demonstrated customer service and outreach experience with the ability to work well with a diverse public
Excellent multitasking, planning and organization skills
Strong interpersonal, oral, and written communication skills
Demonstrated ability to work with a team and on independent projects
Strong time-management skills; task, goal, and results-oriented
Proficiency with all MS Office applications; familiarity with Asana and Airtable
Adaptable and flexible to changing needs and priorities
Must be available to work evenings and weekends as needed
Preferred
Bachelor's/College degree in project management
Experience with Learning Management Systems and platforms such as Coursera
Experience working in non-profits, educational institutions, or social services
Physical Demands
Travel to library branches and non-library locations as required
