Job Description
Key Responsibilities
Client Interaction & Front Desk Support
Greet clients in a professional, friendly manner and notify staff of arrivals.
Answer, screen, and direct incoming phone calls and client inquiries.
Assist clients with dropping off and picking up documents or tax return packages.
Maintain a clean, organized reception area and prepare conference rooms for meetings.
Provide prompt, clear communication to clients via phone, email, and client portals.
Administrative & Office Support
Prepare, organize, and maintain client files (both digital and paper).
Scan, label, upload, and route incoming documents to the appropriate accountant.
Draft and send client emails, reminders, engagement letters, and follow-up requests.
Handle mail: sorting, scanning, certified mail, and mailing completed tax return packets.
Manage office supplies, coordinate with vendors, and assist with general office upkeep.
Perform data entry and light bookkeeping tasks as needed.
Tax Season & Workflow Support
Assemble individual, corporate, and partnership tax return packages.
Track deadlines for tax filings, extensions, and outstanding client documents.
Assist with onboarding new clients, including intake forms and document collection.
Support accountants during audits, tax planning, and preparation projects.
Maintain confidentiality and accuracy when handling sensitive financial and personal information.
Scheduling & Coordination
Schedule appointments and manage calendars for partners and staff.
Coordinate client meetings, calls, and document drop-off/pick-up times.
Help manage the firm’s daily workflow and ensure tasks move efficiently between departments. Skills & Qualifications

Professional demeanor, positive attitude, and strong customer service approach.
Proficiency with Microsoft Office (Excel, Word, Outlook) and office equipment.
Ability to work in a fast-paced, deadline-driven environment (especially during tax season).
Detail-oriented, dependable, and comfortable learning new software/portal systems.
Ability to maintain strict confidentiality
