About the Role:

The Administrative Assistant plays a crucial role in supporting the Senior leadership team by ensuring smooth and efficient office operations. This position is responsible for managing schedules, coordinating meetings, and handling communications, which are essential for maintaining a productive work environment. By organizing and maintaining files and records, this role helps ensure that information is readily accessible to staff and stakeholders. Ultimately, the Administrative Assistant is vital in fostering a collaborative atmosphere.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Proven experience as an administrative assistant or in a similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Preferred Qualifications:

  • Associate's degree in business administration or a related field.
  • Experience in an educational setting or knowledge of educational processes.
  • Familiarity with office management software and tools.

Responsibilities:

  • Manage and organize daily schedules for team members, including setting up meetings and appointments.
  • Handle incoming communications, including phone calls, emails, and correspondence, ensuring timely responses.
  • Submit supply orders while documenting expenditures.   
  • Maintain organized filing systems, both electronic and physical, to ensure easy access to important information.
  • Support the team with various administrative tasks, including data entry, report generation, and inventory management.

Skills:

The required skills for this position, such as proficiency in Microsoft Office Suite, are utilized daily to create documents, manage spreadsheets, and communicate effectively with team members. Strong organizational skills are essential for maintaining filing systems and ensuring that all materials are easily accessible. Excellent communication skills are necessary for handling inquiries and facilitating smooth interactions among Futures employees. Preferred skills, such as familiarity with office management software, can enhance efficiency and streamline administrative processes, contributing to a more effective work environment.

Schedule: Part time approximately 20-25 hours a week,
