QUALIFICATIONS
• High school diploma or GED required; associate degree or office-administration certification
preferred.
• Minimum two years of progressively responsible clerical/secretarial experience with frequent
public contact; public-sector or education experience preferred.
• Must pass criminal records check as required by Kentucky law.
• Must meet health requirements as specified in District Personnel Policy.
• Proficiency with office software (word processing, spreadsheets, email/calendar) and willingness
to learn district systems (Infinite Campus, Apptegy, website/SNS tools).

JOB GOAL
Provide professional, personable, and trustworthy clerical, secretarial, and financial support to
all Central Office staff and the district. Maintain front-office reception and communications, post
regularly to the district website and social media, coordinate the Community Education grant,
support event photography/video as needed, prepare materials for school opening, and perform data
entry and other duties requiring Infinite Campus and related system skills.

CRITICAL SKILLS / EXPERTISE REQUIRED
• Knowledge of modern office practices, procedures, and equipment.
• Record keeping and filing systems, including confidential personnel records.
• Health and safety regulations applicable to schools.
• Correct English usage, grammar, punctuation, and professional correspondence.
• Strong oral and written communication skills.
• Excellent interpersonal skills — tact, patience, courtesy, and a personable demeanor.
• Telephone techniques and front-desk etiquette.
• Operation of standard office machines and comfort with cameras/video equipment for
events.
• Familiarity with applicable Kentucky Administrative Regulations and other relevant
laws.
• Ability to prepare letters, reports, requisitions, legal documents, and maintain confidential
filing systems.
• Experience with Infinite Campus (data entry/queries) and Apptegy or similar CMS/SNS platforms
preferred.

ESSENTIAL JOB FUNCTIONS
The Central Office Secretary must be able to:
1. Perform a wide variety of clerical, secretarial, and basic financial duties for the Central
Office.
2. Maintain accurate financial and statistical records and assist with basic bookkeeping tasks.
3. Follow oral and written directions and complete tasks despite frequent interruptions.

4. Work independently with minimal supervision and adapt to changing priorities.
5. Establish and maintain cooperative, effective working relationships with staff, parents,
students, and the public.
6. Learn, interpret, apply, and explain district rules, regulations, policies, and procedures.
7. Operate office equipment (computer, calculator, copier, fax) and medium-format cameras/video
gear when required.
8. Maintain positive public relations and serve as a personable front-office representative.
9. Manage schedules, meet deadlines, and organize workloads efficiently.
10. Compile, verify, and prepare reports and maintain accurate data.
11. Handle confidential information with discretion and sound judgment.
12. Communicate clearly and professionally in person, by phone, and in writing.

PERFORMANCE RESPONSIBILITIES
• Organize and coordinate clerical functions supporting Central Office administration and
finance.
• Provide courteous front-desk reception.
• Answer and direct telephone calls; greet and assist visitors in a personable manner.
• Prepare, proofread, and maintain financial, statistical, and narrative reports; assist with
audit document preparation.
• Assist with research, data compilation, and record organization for district
initiatives.
• Maintain working knowledge of district policies.
• Operate business and office machines and support basic tech needs for staff.
• Demonstrate loyalty, professionalism, and dedication to district goals and mission.
• Post timely district updates on the website and social media; manage content in Apptegy (or
district platform).
• Serve as director/liaison for the Community Education grant: coordinate communications,
documentation, scheduling, and reporting.
• Provide camera/video support at school/district events as needed.
• Prepare materials and communications for schools’ opening day and other major events.
• Assist district employees with IC
• Perform other duties as assigned by the Superintendent and/or designee.

WORKING CONDITIONS / PHYSICAL REQUIREMENTS
• Typical office environment with frequent phone, computer, and desk work.
• Occasional after-hours or event support required.
• Ability to sit or stand for extended periods, lift/move light packages, and handle
basic
camera equipment.
