Pay Rate : $20 - $25 Hr

Position Summary:

The Master Scheduler is responsible for creating and maintaining employee schedules for all departments within the assisted living facility, ensuring adequate staffing to meet resident care and service needs. This role requires close coordination with department heads and a strong understanding of staffing regulations and operational demands. The Master Scheduler plays a key role in promoting team collaboration, maintaining staffing efficiency, and supporting quality care delivery.

Key Responsibilities:

  • Develop and maintain accurate staff schedules across all departments (nursing, dietary, housekeeping, etc.), ensuring coverage that aligns with resident care needs and regulatory requirements.
  • Collaborate with department managers to understand staffing requirements and forecast needs due to vacations, call-outs, or changes in census.

  • Update schedules regularly and ensure timely communication of any changes to staff.

  • Manage schedule requests including time-off requests, shift swaps, and coverage for absences in accordance with facility policies.

  • Monitor overtime and work hour compliance; proactively adjust schedules to minimize overtime and ensure budgetary goals are met.

  • Maintain scheduling software/system and ensure data accuracy.

  • Communicate professionally with employees regarding scheduling concerns or conflicts.

  • Work closely with Human Resources regarding new hires, terminations, and changes in staff availability.

  • Participate in staff meetings and contribute to workforce planning discussions.

  • Support a positive, respectful workplace culture and promote collaboration across all departments.

Qualifications:

  • High school diploma or equivalent required; associate?s or bachelor?s degree preferred.

  • Previous experience in scheduling, preferably in a healthcare or senior care setting.

  • Strong working knowledge of scheduling systems/software.

  • Excellent organizational, communication, and interpersonal skills.

  • Ability to manage multiple priorities, work under pressure, and meet deadlines.

  • Discretion and confidentiality when handling staff schedules and personal information.

  • Proven ability to work well with diverse teams and staff at all levels.
