Office Assistant (Temp-to-Perm)

Hours: 8:30 AM - 5:30 PM
Hourly Rate: $22/hour
Employment Type: Temp-to-Perm
Location: Onsite in Plainedge, NY

About the Role:

We are seeking a professional and highly organized Office Assistant to support daily administrative operations and ensure a welcoming, well-functioning office environment. The ideal candidate is detail-oriented, customer-service focused, and able to juggle multiple tasks in a fast-paced setting.

Responsibilities
  • Answer multi-line phone system and route calls to the appropriate employee or team.
  • Greet guests and interview candidates; ensure they are seated and prepared for scheduled meetings.
  • Monitor conference room usage and maintain meeting room reservation blocks.
  • Provide general administrative support, including document scanning and clerical tasks.
  • Assist with managing office supply inventory and place supply orders as needed.
  • Maintain an organized supply closet; restock shelves upon supply delivery.
  • Keep the kitchenette tidy and stocked with paper goods and coffee supplies.
  • Prepare and send outgoing mail and FedEx packages for office staff.
  • Open and distribute incoming mail to the appropriate employees or teams.
  • Assist with occasional catering needs, including ordering, pick-up, setup, and cleanup.
  • Complete ad hoc administrative tasks to support office operations.
Required Skills & Qualifications
  • Exceptional verbal communication skills, strong organizational ability, and meticulous attention to detail.
  • Professional presentation and strong customer service skills.
  • Proven ability to interact effectively with clients, customers, and callers.
  • Excellent Microsoft Office skills, especially Excel.
  • Ability to handle multiple projects simultaneously in a fast-paced environment.
  • College degree preferred but not required.
  • Minimum 1 year of related experience.
  • Friendly, polished, and dependable.
  • Thrives in a collaborative office setting.
  • Shows initiative and can anticipate office needs.
  • Comfortable managing shifting priorities with professionalism and calm.
Pay Details: $20.00 to $22.00 per hour
