About this job

Key Responsibilities include the following, but are not limited to:

  • Responsible for supporting department billing and employee attendance reports.
  • Answers and transfers phone calls, screening when necessary.
  • Welcomes and directs visitors and clients.
  • Maintains filing systems as assigned.
  • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
  • Responds to and resolves administrative inquiries and questions.
  • Processes required paperwork for employee transfers, changes in job classification, salary increases, and other related employment matters.
  • May assist with the preparation of human resource reports, such as attendance, new hire, and turnover reports.
  • Prepares purchase orders for the human resource office.
  • Email every month for ID Renewals.
  • Go over the monthly and quarterly reports with the Operations Manager to make sure all information is up to date and all IDs are turned in when resigned.
  • May direct the work of clerical employees in lower job classifications.
  • May assist in training newly hired clerks and administrative assistants.
  • Performs other related duties as assigned.

Key Qualifications

  • Must possess at least a high school diploma or equivalent.
  • Proficiency in Microsoft Office Suite (PowerPoint, Word, and Excel skills).
  • Minimum 2 years of previous administrative support experience.
  • Ability to speak and understand Spanish / English.
  • Demonstrated ability to read and understand the documented processes and procedures needed.
  • Must be able to maintain internal confidentiality.
  • Ability to plan, organize, and implement in a dynamic environment.
  • Excellent writing and communication skills, including interpersonal, negotiation, and conflict resolution abilities.
  • Strong self-organization and self-management skills, with emphasis on self-initiation and follow-through.
  • Must be able to obtain a SIDA Badge from the airport.
  • Must pass pre-employment drug screen and background check.
