POSITION SUMMARY
The Parts Room Coordinator is responsible for overseeing the flow of parts and materials to support maintenance operations. This role manages inventory, ensures accurate receiving and stocking, coordinates with technicians and suppliers, and maintains an organized and efficient parts room. The Parts Room Coordinator plays a key role in minimizing downtime by ensuring parts are available and accessible when needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Manage inventory levels by conducting cycle counts, physical checks, and monitoring reorder points for critical spare parts.
- Identify obsolete or surplus items and maintain proper labeling, tagging, and storage practices.
- Utilize inventory management systems and software to ensure accurate records.
- Receive and verify incoming shipments against purchase orders and invoices, process and stock parts in designated locations.
- Prepare and organize parts for internal use or external shipment.
- Provide timely and accurate assistance to technicians regarding parts availability and location.
- Create and manage purchase orders as needed, working closely with suppliers and vendors to ensure timely delivery.
- Communicate effectively with technicians, vendors, and other departments regarding inventory status, orders, and part requirements.
- Maintain a clean, safe, and organized parts room in compliance with company policies and safety regulations.
QUALIFICATIONS
- 1–2 years of experience in a parts room, warehouse, or similar inventory control environment required; manufacturing industry experience preferred.
- Strong organizational skills with the ability to manage multiple priorities and maintain accurate records.
- Excellent attention to detail and accuracy in part identification and recordkeeping.
- Strong computer proficiency, including MS Office (Outlook, Word, Excel, PowerPoint); experience with inventory management software preferred.
- Effective verbal and written communication skills; able to work with technicians, suppliers, and cross-functional teams.
- Customer service mindset with the ability to support and assist technicians and internal stakeholders.
- College degree preferred; equivalent experience may be considered in lieu of degree.
- Self-motivated, positive, and professional demeanor.
- Ability to stand for extended periods and lift/move parts as required.
WORKING CONDITIONS AND PHYSICAL REQUIREMENTS
- Regularly required to stand, walk, bend, reach, lift, and carry parts.
- Must be able to lift/move items up to 50 lbs. as needed.
- Work performed primarily in a parts room/warehouse setting with exposure to a manufacturing environment.
- May involve operating material handling equipment such as pallet jacks, carts, or forklifts (if certified).
- Fast-paced environment with shifting priorities to meet maintenance and production needs.
- Personal protective equipment (PPE) may be required, including safety eyewear, gloves, and steel-toed shoes.
