About the role
The Clinical Medical Receptionist serves as the first point of contact for patients and plays a key role in ensuring a smooth registration process at the Health & Wellness Center. Responsibilities include greeting patients and providing a welcoming experience, scheduling and confirming appointments, verifying and updating patient demographics and insurance information, collecting co-pays, managing billing inquiries, answering phone calls, responding to patient questions professionally, and managing referrals.
Additionally, the clinical medical receptionist provides clinical support by preparing exam rooms, taking and recording vital signs, performing lab tests, assisting providers during patient examinations as needed, documenting patient medical and social histories, and reconciling medication information.
The Clinical Medical Receptionist actively and consistently contributes to department operations and communications, demonstrates behavior aligned with the mission and objectives of Covenant House, and performs other duties as assigned.
What you'll do(Responsibilities to include but are not limited to the following)
- Demonstrates the ability to carry out established medical receptionist procedures in accordance with department protocols, ensuring the maintenance of a safe and clean environment. Provides holistic, age-appropriate communication and demonstrates the ability to assess patient and situational needs.
- Recognizes and effectively de-escalates disruptive behavior. Maintains a calm and welcoming environment in the waiting area.
- Provides thorough, concise, and timely documentation, shift reports, and verbal communications. Communicates pertinent patient and unit information to medical providers, clinic staff, and other appropriate personnel while maintaining client confidentiality.
- Assists in coordinating services with medical staff, nursing staff, other departments, and external providers. Responds promptly and effectively during emergency situations.
- Maintains clinical competencies and stays current with the latest computer programs and processes. Completes internal and external referrals, scans documents into medical records, and fulfills annual competency requirements.
- Assists with the orientation of new personnel, volunteers, and students. Participates in committees and meetings. Supports the implementation of policies and procedures and engages in community events to promote the mission of the Health Center.
- Assists in collecting patient satisfaction surveys and compiles data for monthly reports. Helps maintain equipment, prepares monthly patient appointment data reports, receives medication deliveries, and ensures daily distribution to resident floors. Sends daily appointment reminder lists to staff on resident floors.
- Monitors providers schedule and resolve issues as needed. Demonstrates self-motivation and independent decision-making while keeping clinic staff informed and supporting the philosophy of Covenant House. Effectively prioritizes tasks and manages time.
- Communicates with others—verbally and in writing—in an appropriate and timely manner, demonstrating tact, sensitivity, and professionalism.
- Maintains strict confidentiality and adheres to all HIPAA guidelines and regulations.
- Understands and upholds the CHNY Mission Statement and Five Principles. Comply with all organizational policies and procedures, as well as federal, state, and local laws and applicable accreditation standards.
- Assists in the collection of patient satisfaction surveys, collating the data for monthly reports. Assists in maintaining equipment. Prepares monthly patient appointment data reports. Receives medication delivery and assures distribution to resident floors daily. Sends appointment reminder lists to staff on resident floors daily.
- Monitors provider schedules and troubleshoots as needed. Self-motivated and able to make decisions independently keeping all clinic staff and others informed and supporting Covenant House philosophy. Able to prioritize and manage time efficiently.
- Communicates with others (verbally and in writing) in an appropriate and timely manner, demonstrating tact, sensitivity, and ability to deal with people beyond giving and receiving instructions.
- Maintains strictest confidentiality; adheres to all HIPPA guidelines/regulations.
- Understands and abides by CHNY Mission Statement, Five Principles, policies and procedures and is knowledgeable; complies with federal, state, and local laws that govern business practices as well as all accreditation standards that apply to the position.
- Perform other duties as assigned and needed.
SUPERVISORY DUTIES
- This position does not supervise any other position.
Qualifications
- High school diploma or GED.
- Basic computer skills and knowledge of programs.
- Experience with EHR, ECW, ePaces, ETO preferred
- One year experience in a Medical/Surgical clinic environment preferred
