Position: Document Control Assistant
Overview
The Document Controller is responsible for maintaining the integrity, accuracy, accessibility, and security of all project and company documentation. This role ensures that document control processes align with industry standards, client requirements, and internal quality expectations, while supporting project teams through effective communication and system expertise.
Key Responsibilities
Document Lifecycle Management

Manage the full lifecycle of project documents from creation through archiving.

Ensure all title block information (document number, title, and revision) is accurate and current.

Maintain strict revision control and version history for all project documentation.
Standards, Compliance & Quality

Enforce document control procedures and standards across all projects.

Ensure all documents comply with industry standards and client-specific requirements.

Verify that documents meet formatting and quality guidelines prior to release.

Ensure required signatures and approvals are obtained before document issuance.

Safeguard confidential and sensitive information in accordance with company policies.
Communication & Coordination

Serve as the primary point of contact for document-related inquiries.

Track and manage incoming and outgoing project documentation.

Communicate effectively with internal project teams and external stakeholders to ensure timely document distribution and retrieval.
EDMS Platform Expertise

Act as a subject matter expert for Electronic Document Management Systems (EDMS), including:

Hexagon SDx
-
Document Locator (DL)
-
Procore
-
Aconex
-
Autodesk Construction Cloud (ACC)

SharePoint
-

Educate and train internal and external users on EDMS platforms and document control procedures.
Archiving & Records Management

Ensure effective and compliant archiving of project documents.

Maintain long-term document accessibility to support retrieval years after project completion.
