Substitute Secretary (District-Wide)
Job Description:
The Substitute Department Secretary provides essential support to building administrators, office staff, students, and families on an as-needed basis. This position assists with general clerical duties, office coverage, and other responsibilities to ensure smooth daily operations in the absence of regular staff.
Responsibilities include:

Provide support services to the building administrator and office team.

Perform receptionist duties, maintain files, and complete general clerical tasks.

Input and update student records as needed.

Assist students with health-related concerns when appropriate.

Support breakfast and lunch duties as assigned.

Create or distribute the daily bulletin as directed.
-
Help arrange substitutes using Absence Management software (if applicable).

Answer phone calls, respond to parent inquiries, and assist visitors courteously.

Schedule meetings via Google Calendar or other district tools.

Prepare simple reports and correspondence.
-
Greet and assist all patrons, staff, and students in a professional and welcoming manner.

Follow written and verbal directions accurately.

Perform other related duties as assigned by the building principal or administrator.
Minimum Qualifications:

High school diploma or GED required.

AA degree, or 48 semester credits/72-quarter credits from an accredited institution (level 100 or higher), or successful completion of the ETS ParaPro Assessment.

Successful completion of the Department Secretary skill assessment (math, English, and computer management components).

Ability to communicate effectively, both verbally and in writing.
-
Ability to follow written, oral, and diagram instructions.

Must be dependable, adaptable, and able to manage multiple priorities in a busy school office.

Physically able to occasionally lift/move up to 20 pounds and perform basic physical motions such as sitting, standing, bending, and reaching.

Must maintain confidentiality and demonstrate professionalism at all times.
