Billing & Administrative Specialist
Dynamic, rapidly growing and well established privately owned company has an opportunity for you to use your billing (non-medical) office administrative skills to contribute to the strategic development of this organization.
You will be responsible for preparing, issuing, and tracking customer invoices, posting payments, answering customer inquiries, maintaining accurate billing records, resolving billing discrepancies, and supporting Accounts Receivable functions to ensure timely and accurate cash collection, past due collections.

The ideal candidate will have verifiable experience using QuickBooks Online as well as Microsoft Office Suites, including Excel, and the ability to create and add to spreadsheets.
Essential Functions
· Prepares and issues accurate customer invoices in a timely manner
· Posts customer payments and applies credits accurately
· Reviews billing data for accuracy and completeness
· Resolves billing discrepancies and customer inquiries
· Maintains Accounts Receivable records and supporting documentation
· Monitors outstanding invoices and assists with collections
· Generates routine billing and aging reports
· Coordinates with internal departments to verify billing information
· Ensures compliance with Company billing policies and procedures
· Assists with month-end closing activities related to billing and Accounts Receivable
· Maintains organized and up-to-date billing files
· Supports audits by providing billing documentation as requested
Essential Qualifications
· Two (2) years of experience working in an office setting performing billing (non-medical) accounts receivable, or clerical accounting functions and administrative functions in the freight, transportation or similar industry
· Working knowledge of basic accounting principles and billing practices
· Familiarity with the Accounts Receivable Processes
· Working knowledge of invoicing systems and accounting software QuickBooks Online
· Demonstrated proficiency using Microsoft Office Suites, including Microsoft Excel
· Strong attention to detail and accuracy
· Ability to organize, review, and reconcile billing information
· Excellent communication with customers and internal staff
· Ability to manage multiple tasks and meet deadlines
· Experience with billing, invoicing, credits, debits, bills of lading and customer orders
· Strong Customer service skills
· Demonstrate good judgment in investigating issues and handling them accordingly
· Ability to handle other tasks as needed
· High School Diploma is required
· Associate degree is preferred
