The Receptionist / Administrative Assistant provides routine administrative and clerical support services in support of federal operations at Quantico. This position is responsible for real-time oversight of sensitive calls, front-office coordination, and administrative task execution while maintaining discretion with confidential and personal information. The role requires professionalism, organization, and the ability to manage multiple administrative functions simultaneously in a secure environment.
Key ResponsibilitiesPerform routine administrative functions including drafting correspondence, scheduling appointments, and providing information to callers.
Provide real-time oversight of sensitive calls in accordance with federal requirements.
Operate and manage a multi-line phone system with professional phone etiquette and customer service.
Organize, maintain, and manage paper and electronic filing systems and records.
Perform scheduling and calendar management activities.
Utilize Microsoft Office tools including Word, Excel, Outlook, PowerPoint, and SharePoint.
Support filing systems, records management, and document control.
Perform basic bookkeeping and expense tracking duties.
Communicate effectively through written and verbal correspondence.
Maintain organization and manage multiple tasks in a fast-paced administrative environment.
Exercise discretion when handling confidential, sensitive, and personal information.
Support day-to-day administrative operations to ensure office efficiency and continuity.
High School diploma or equivalent.
Minimum of 5–8 years of administrative experience.
Ability to obtain and maintain a Tier 3 (T3) clearance and Common Access Card (CAC).
Demonstrated proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint, SharePoint).
Strong organizational, communication, and multitasking skills.
Some college coursework or vocational training in an administrative or office-related field.
