Job Description
We are searching for a Financial Aid Administrative Assistant to support a hands-on, skills-based training institution by assisting with the daily operations of the financial aid office, including application processing, student communication, data management, and compliance support. This role ensures students receive accurate information and timely assistance as they navigate financing options for technical training programs. The position is contract-to-hire, pays $23 to $25 per hour, and is onsite in the southwest part of Las Vegas.
Responsibilities
Student File Review & Application Processing
- Review, analyze, and organize student financial aid records to help determine eligibility for aid programs.
- Support calculation of basic cost of attendance and financial need components as part of packaging workflows.
- Assist with collecting and verifying required documentation, maintaining accuracy and compliance in all files.
Aid Awarding Support
- Assist in preparing and updating student award information, including grants, scholarships, and private loan documentation.
- Maintain thorough records of award decisions and communication to ensure accuracy during audits and reviews.
Student Advising Assistance
- Serve as a first point of contact for student questions related to financial aid processes, deadlines, and available funding options.
- Provide administrative support to financial aid advisors by preparing files, scheduling appointments, and assisting with loan counseling procedures.
Compliance & Regulatory Support
- Maintain meticulous documentation to support compliance with applicable federal, state, and institutional funding regulations.
- Assist with audit preparation, routine reporting, and data reconciliation to reduce institutional risk.
Data Management & Reporting
- Enter, update, and verify financial aid data across institutional systems to ensure accuracy and reliability.
- Assist in compiling reports and basic data analysis for internal planning and external compliance requirements.
Office Operations & Customer Service
- Provide general administrative support, including document processing, communication handling, and reception responsibilities.
- Share information about scholarships and other non-federal funding opportunities relevant to skills training students.
Requirements
- Associate degree or experience or coursework in finance, business, education, or administration.
- Prior experience in customer service, student services, or administrative roles strongly preferred.
- Basic understanding of financial aid processes and willingness to learn regulatory requirements and institutional procedures.
- Ability to manage data with accuracy and confidentiality across multiple systems and platforms.
- Strong attention to detail and ability to manage multiple tasks in a fast paced environment.
- Excellent written and verbal communication skills for providing clear guidance to students and families.
- Ability to collaborate effectively with staff, faculty, and external partners.
- Demonstrated discretion and integrity when handling sensitive student and financial information.
- Interest in technical education or workforce focused training environments.
- Strong problem-solving abilities and a supportive, student-centered approach.
- Ability to adapt quickly to regulatory updates and institutional process changes.
