JOB SUMMARY:
This position will be responsible for the managing, planning and organizing Nooksack Indian Tribal (NIT) sponsored activities and events such as, Pow Wows, Stick Games, Canoe Journey, Community Breakfasts, department events, etc.
MAJOR TASKS AND RESPONSIBILITIES:
- Promotes events through various available resources, Tribal Facebook Page, Tribal Newsletter, Bulletin Boards, Community Calendar, etc.
- Coordinates with the Facilities and Maintenance Department to ensure that the facilities used for sponsored events are clean, setup and ready for event.
- Talks with clients about events and offer suggestions to make sure their requests can be met.
- Negotiates costs related to events and ensures the event stays within the negotiated cost.
- Ensures adequate staff is available for food gathering, preparation, cooking, cleaning and entertaining.
- Negotiates, meets with and regularly work on contract details with outside presenters for special events following the approved contract policies and procedures.
- Manages events budgets including facilitating and managing the distribution of honorariums, prize payouts and gifts.
- Manages special inventory including event supplies and equipment.
- Regularly work with accounting for timely processing of requisitions and contracts.
10.Facilitate and organize event committees.
11.Occasionally will be required to make presentations to the Community, Tribal Council, etc.
12.Advise senior management on matters requiring their attention and implement their decisions.
13.Recruit and oversee work by contractors & day-hires.
14.Maintain event files and folders.
15.Develop and maintain a monthly, quarter, annual event calendar.
16.Coordinates parking and security for major events.
OTHER DUTIES:
Because of the Tribe's commitment to community service and the well-being of its members, each employee may be expected to perform a wide range of office and field duties from time to time. Such duties may or may not be related to their regular responsibilities.
PREFERENCE:
Indian Preference Policy applies to this and all positions with the Nooksack Indian Tribe.
MINIMUM QUALIFICATIONS:
The following qualifications are required for the incumbent to have, in order to be considered for the position.
REQUIRED EDUCATION, EXPERIENCE AND TRAINING FOR POSITION:
- Associates Degree in business or related field with 2 yrs. experience. or
- A combination of education and related experience with a minimum of 4 years of directly related experience.
REQUIRED SKILLS/KNOWLEDGE/ABILITIES POSITION:
- Abilities to negotiate, organizes and work under pressure.
- Good organizational skills
- Must be able to multi-task and detailed oriented.
- Ability to operate in a team setting.
- Excellent communication skills, both oral and written.
- Must be willing to assist with preparation and service of ceremonial objects, materials, and protocol.
- Must know how to work with Tribal elders in a respectful caring manner.
- Able to work irregular hours and occasional weekends.
- Ability to develop event budgets and ensure budget limits are adhered to.
REQUIRED CONDITIONS OF EMPLOYMENT:
- Must pass alcohol/drug test at time of hire and throughout employment.
- Must pass criminal background check at time of hire and periodically thereafter.
REQUIRED LICENSES OR CERTIFICATIONS:
- Must have and maintain throughout employment a valid Washington State Driver's License and meet the insurability requirements of the Tribe. (Must Provide Driving Abstract at time of hire).
- Must have up to date Food Handler's Permit.
PHYSICAL REQUIREMENTS (The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.):
- Frequent standing/walking while performing office duties: walking short distances performed throughout shift on tile, carpet or concrete.
- Frequent/constant sitting: on adjustable chair at desk or assigned work area.
- Ability to occasionally lift 1-20 lbs.: files, paperwork, supplies. Seldom required to lift up to 35 lbs.
- Occasional requires pushing or pulling using both arms/hands with required force of 5-20 lbs. to open doors/file drawers and filing documents.
- Seldom required to climb: stairs at some locations.
* Frequently required to bend at waist/knees/neck to and from seated position while working at desk, filing and records handling.
- May kneel or crouch occasionally to retrieve items from floor level.
- Constant use of both hands/fingers and arms to reach/handle or grasp while keyboarding, using phone, calculator, copier, and other office equipment; writing instructions, filing and performing other administrative duties. Job requirements include forward and over shoulder reaching on a frequent basis.
* Constant use of eye sight for reading documents.
* Work is primarily performed indoors in a climate controlled office environment.
* Occasionally required to work outdoors at events in various weather conditions.
