This role supports the execution and delivery of sponsorship agreements across multiple association clients. The Sales Services Team specializes in national advertising, sponsorship, and exhibit sales for associations, and this role plays a key part in ensuring sponsors receive a seamless, well-organized experience through accurate fulfillment, strong communication, and timely reporting. The ideal candidate is detail-oriented, proactive, and comfortable managing multiple projects simultaneously. This role focuses on coordinating sponsorship deliverables, maintaining accurate tracking, supporting client communication, and assisting with post-campaign reporting in a fast-paced, client-facing environment. Key Responsibilities Sponsorship Fulfillment & Execution + Support the execution of sponsorship deliverables in accordance with contracted agreements + Track sponsorship assets, deadlines, and requirements using fulfillment grids and timelines + Coordinate with internal teams including marketing, events, education, and digital to ensure timely delivery + Collect sponsor assets such as logos, ads, and content and confirm they meet specifications + Monitor fulfillment progress and flag risks, gaps, or delays to senior team members Client & Sponsor Communication + Serve as a day-to-day support contact for sponsors and clients under the guidance of senior staff + Provide clear, professional updates regarding timelines, deliverables, and next steps + Respond promptly to sponsor inquiries and escalate complex issues as needed + Maintain a high level of professionalism in all client-facing interactions Post-Campaign Reporting & Documentation + Assist in compiling post-event or post-campaign reports, including impressions, metrics, and recap summaries + Support internal documentation of fulfillment outcomes and renewal-related materials + Maintain organized records for sponsorship fulfillment, reporting, and historical reference Process & Team Support + Follow established fulfillment processes to ensure consistency, accuracy, and accountability + Identify opportunities to improve organization, tracking, and communication workflows + Support senior team members with administrative and coordination tasks as needed This Role Might Be for You If… + You are highly organized and comfortable managing multiple tasks and deadlines + You are detail-oriented and take pride in accurate execution + You enjoy client-facing coordination and cross-functional teamwork + You are a self-starter who can also take direction and follow established processes + You communicate clearly and professionally in writing and verbally + You have strong customer service instincts and enjoy problem-solving Basic Qualifications + Ability to travel up to 25–30 percent, including occasional weekends + 2-4 years of experience in sponsorship coordination, event marketing, account coordination, or a related role + Bachelor’s degree or equivalent professional experience + Experience supporting multiple projects or accounts simultaneously Preferred Qualifications + Familiarity with exhibit or event management platforms such as Expocad3E, AtoZ, or Map Your Show + Proficiency with Microsoft Office including Word, Excel, PowerPoint, and Outlook + Experience using Salesforce or another CRM system is a plus + Exposure to digital advertising, live events, or sponsorship programs is helpful but not required Where Do You Fit? Our hybrid environment offers you the option of working from home two days per week. Employees will work a standard 40-hour week, with the possibility of additional hours based on project deadlines. Smithbucklin considers several factors when determining compensation, including a candidate's recent coursework, training, experience, and certifications, among other considerations.
