Schedule 2:30 pm to 11:30 am 1 hour lunch
Purpose
The Shift Coordinator serves a vital role in the partnership of Masis Staffing Solutions with Yankee Candle. By overseeing the attendance, performance and quality of all temporary staff, the Shift Coordinator will ensure a standard of excellence of performance and communication. Candidates should be highly organized and time efficient when prioritizing and accomplishing tasks. Contributes to the efficient Masis operations by performing their duties accurately and in a timely manner.
Role and Responsibilities
- If there are new temporary employees starting, they need to review in detail the Temporary Employee Safety Information Checklist before they are brought to their department to begin work. Safety Check List should be checked for accuracy and forwarded to Safety Director.
- Checks in to the on-site office 15 minutes before your shift begins (AM OR PM) to monitor shift arrival, ensuring that dress code expectations are met, and employees arrive timely and ID badge is in full view.
- Issue lockers to new personnel, if available
- Training Shift Coordinators will be expected to oversee the training of new staff in conjunction with Shift Leads.
- Attendance Shift Coordinators will be responsible for daily tracking of attendance issues, including time in/out, back from breaks and will adhere to Masis progressive attendance policy including issuing of verbal and written warnings.
- Computer usage Shift Coordinators must be comfortable with computer use including MS Word, Outlook, and Excel.
- Additional Facility Coverage Occasional travel to additional facilities may be required.
- Standards Motivation and success of temporary employees is involved in the Standards program and will be a responsibility of the Shift Coordinator. This will include but will not be limited to Observations.
- Orientations Potential YCP and YCM employee orientations will be conducted twice or three times weekly by Shift Coordinators. Their day-to-day information will be essential in creating an accurate picture of job duties and expectations. Tours of the respective facility will be included during these orientations.
- Terminations Shift Coordinators in conjunction with Security will be responsible for on-site terminations.
- Shift Leads will be working on each YCP shift and Shift Coordinators will be expected to direct their daily workload, working together for the common goal of successful quality staff at YCC. Team meetings will be conducted as needed.
- I9 & W4 documentation each new start will have to have I9s and W4s completed upon their arrival on the first day. Accurate credentials to work along with flawless completion of the I9 and W4 will be the responsibility of each Shift Coordinator.
- Meetings Shift Coordinators will have weekly meetings with the Operations Manager in person/or via phone to discuss and resolve any shift issues that are not urgent.
- Professional development and training will be held regularly and may occur on a weekend day.
- KRONOS daily monitoring of the time for their shift will ensure timely, accurate and consistent enforcement of Masis attendance policies.
- One to two times a week, the Shift Coordinator must update the employee list he or she keeps including telephone numbers.
- Check in to on-site office 15 minutes before your shift begins (AM OR PM) to secure and review notes pertaining to shift and budget report. Checks in with Masis office staff or answering service to receive any temp staff call outs or issues. Reviews any performance or GSP based coaching/warning forms that need to be distributed during the shift.
- Reports to the Operations Leaders and/or Facilitators to balance temporary staffing numbers from budget report. This is crucial and information must be delivered via radio or email five minutes after the start of the shift.
- Contact all employees that do not show for work. Make any and all necessary calls to on call list and Masis to secure additional staff if needed. Responsible for requesting PPE and badges be returned to the Masis offices.
- Audit production floor by department for GSP violations, issue verbal and written warnings as necessary.
- Research payroll issues and troubleshoot departmental staffing issues pertaining to temporary staff. Communicates daily with Masis staffing and accounting personnel to solve payroll issues and discuss temp staff performance.
- Obtain Direct Deposit information from new starts by 2nd day of assignment or issue pay card and send information to payroll department.
- Support production needs starting with highest priority department. Works closely with Operational Leaders and Facilitators to settle shifts quickly and efficiently according to the work demands for that shift. Makes the necessary adjustments to the temp staffing numbers in order for the production flow to run smoothly.
- Physical requirements of the position will include being able to lift 35 40 lbs. as needed and successfully passing a lifting assessment. Shift Coordinators will need approved steel toed footwear.
- Each Shift Coordinator will need to successfully pass a criminal background check.
- Complete daily shift reports for Operations Manager/Projects Managers review.
- Conduct injury investigations and reenactments. Complete appropriate reports pertaining to workers comp. Injury reports need to be sent to Masis and the Safety Team before the end of the shift.
- Conduct initial investigations and write detailed statements for situations including but are not limited to sexual harassment complaints and workplace violence. Send report to Jim Kervick before the end of the shift the occurrence took place.
- Perform other duties as assigned.
QUALIFICATIONS AND EDUCATION REQUIREMENTS
- High School Diploma.
- Ability to speak more than one language highly desirable.
Proficiency in multiple computer software applications is necessary.
