ABOUT THE ROLE
The Executive Assistant will provide organized, proactive, and confidential administrative support for the Greek office and will support the Chief Product & Technology Officer (CPTO) and Chief Delivery Officer (CDO). The position reports to the Head of Administration.
This role is ideal for someone who thrives in a dynamic, fast-paced environment and brings a positive, can-do attitude, especially when navigating ambiguity and the unknown.
This role requires being in the Greece office a minimum of 2 days per week and for all events and gatherings.
KEY RESPONSIBILITIES
Executive Support
Manage and maintain complex, multi-time-zone calendars for the CPTO and CDO.
· Schedule internal and external meetings, assemble briefing materials, and track follow-ups.
· Serve as an internal and external liaison on behalf of the executives.
· Prepare and submit expense reports, support budget tracking for executives.
Travel & Logistics
· Coordinate domestic and international travel, including flights, accommodations, itineraries, and last-minute adjustments.
· Prepare travel packets and manage travel-related expenses.
Office Operations & Workplace Support (Greece Office)
· Serve as the primary office operations coordinator for the local workspace.
· Manage supplies, vendors, shipments, facility needs, and onsite resources.
Miscellaneous
· Support onsite events, meetings, team gatherings, visiting executives, and local hospitality.
· Partner with global HR/IT/Operations, US based EA to ensure alignment and smooth execution of local processes.
· Act as the go-to onsite contact for employees needing operational support.
REQUIRED QUALIFICATIONS
· Demonstrated success as an executive administrator.
· Bachelor’s degree or equivalent experience.
· Strong English communication skills (written and verbal).
· High proficiency with Microsoft 365, Teams, Outlook, and collaboration tools. Willingness to lean into AI.
· Strong organizational skills and attention to detail.
PREFERRED QUALIFICATIONS
· Experience in tech, SaaS, or global organizations.
· Experience with office operations or facilities coordination.
