Reports To: Production Operations Manager
Range: $20 per hour (non-exempt)
Dates of Employment: Mid-June through Late-September 2026

Position Summary
The Assistant Production Coordinators play an integral role in building the Production department’s daily schedule and are vital to the day-to-day operations backstage at Ravinia. This position also serves as a main point of contact for the artist's on-site hospitality needs. Please note that there are no technical/on-stage aspects to this position. Based on the concert schedule, this position will be working 30 - 50 hours per week. This position is eligible for overtime pay when working more than 40 hours in one week. Ravinia’s work week begins on Saturday and ends on Friday. This position is paid bi-weekly.
Key Responsibilities
Department Operations:
Shared responsibility acting as main receptionist/dispatch for the Production department
Shared responsibility in creating and maintaining the master operations schedule for the Production department
Aid in the management of day-to-day backstage operations (e.g. oversight of department transportation, maintaining department inventories, aiding in the organization and coding of department purchase receipts, etc.)
Shared oversight of the department’s Production Assistants
Assist with running errands and driving artists, as needed
Concert Operations:
Lead day-of-show artist hospitality and dressing room set-up with the aid of Production management staff
Creation of dressing room forms, shopping lists, and other organizational paperwork for artist hospitality
Lead the non-technical advances for select performances (e.g. catering/hospitality, artist transportation logistics, guest lists, etc.)
Assist the Production Manager in guiding approved Explosive Detection K9 units through backstage, as needed
Other duties as assigned
Skills and Experience Required
Ability to work well as part of a team and independently
Excellent communication, attention to detail, and organizational skills
Creative problem-solving skills
Ability to multi-task and remain composed in a fast-paced environment
Clean driving record**
**Driving Record Requirements to Operate Ravinia Fleet Vehicles
Drivers must be age 19+
Record must be free of any violation for speeding in excess of 19mph over the speed limit within the last three years
Record must be free of multiple speeding violations (of any severity) within the last three years
Record must be free of any at-fault accident violations within the last five years
Ravinia reserves the right to extend driving record requirements beyond those noted above.
Skills and Experience Preferred
Background in hospitality, event planning, or concert operations
Familiarity with live performances (from the performance and/or production staff end)
Experience overseeing and/or leading staff
Proficiency with Google Workspace
Fluency in more than one language is a plus
Work Environment
This is a full-time seasonal position based in Highland Park, IL. This position requires the ability to work outside of normal business hours (extensive early mornings, late nights, and weekends, including some seven-day work weeks). Prolonged periods of standing, the pushing/pulling of carts, and lifting/carrying various supplies are required. This position requires a consistent source of reliable transportation and reliable means of communication.
