Position Summary:
Join a fast-paced, customer-focused team that keeps the fun rolling! As a Fleet Rental Coordinator, you’ll play a key role in managing the scheduling, logistics, and administration of golf cart tournament fleets and seasonal rentals. This position is essential to the success of our golf and rental operations—ensuring every delivery runs smoothly, every detail is tracked accurately, and every customer receives top-tier service. You’ll collaborate closely with C2 branch managers to coordinate on-time deliveries and uphold company rental standards. In addition, you’ll support the broader C2 rental team by assisting with consumer and commercial rental processing when needed. Key Responsibilities:
Tournament Fleet Administration
- Communicate with Golf Courses for Golf Tournament Fleet schedules.
- Send mass mailings and collect and manage documentation
- Maintain schedule for Tournament Fleet delivery and pickup for 5 branches (Clinton CT, Burlington VT, Greenfield MA, Hooksett NH, and Saco ME)
- Create and manage schedules
- Confirm with customers and adjust schedule and calendars as needed
- Alert Supervisor of any vehicle shortages and coordinate plan of action if inventory is unavailable
- Monitor branch rental inventory levels using Excel spreadsheets and coordinate with branch managers to ensure timely delivery and pickup of vehicles
- Process tournament rental orders in Enterprise System
- Provide specific delivery and pickup information on appropriate branch calendar via Microsoft products.
- Develop and execute logistics plans for markets with a high-volume tournament fleet to ensure timely golf car deliveries and pickups while effectively managing transportation costs.
- Prepare and update invoices, process payments via credit card systems, and follow C2 payment procedures for terms and COD customers.
Support Commercial & Consumer Rental Administration
- Process Rental Orders in Enterprise System, Pronto
- Provide specific delivery and pickup information on appropriate branch calendar via Microsoft products
- Utilize Excel to maintain rental tracking for accounts (inventory, revenues and outstanding payments)
- Prepare and update invoices, process payments via credit card systems, and follow C2 payment procedures for terms and COD customers.
- Update Salesforce with closed rental opportunities.
- Send processed, signed Agreements and invoices to customers
- Communicate with transportation companies regarding scheduling and delivery logistics.
Qualifications:
- Strong Proficiency in Microsoft Office (Excel, Outlook, Word) and Salesforce.
- Strong organizational and professional customer-focused communication skills.
- Detail-oriented with the ability to manage multiple tasks simultaneously.
- Prefer experience in trucking logistics and/or planning delivery routes.
- Proficiency with Google Maps and route planning.
- Ability to provide accurate, timely and courteous service to all internal and external constituencies.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to use standard office equipment such as computers, phones, and photocopiers
- Visual acuity to read printed materials and a computer screen
- Ability to communicate effectively in person, over the phone, and via email

Compensation:
- The hourly rate for this role is $25.00 - $29.00 Per hour. Exact rate is determined by skills, qualifications, and experience.
