Sales Administrative Assistant
Position Overview
This hybrid role combines traditional sales assistant responsibilities with high-level administrative support for the Director and hands-on involvement in business development initiatives. The ideal candidate is highly organized, tech-savvy, confident in communicating with clients, and comfortable wearing multiple hats in a fast-paced environment.
Key Responsibilities:
Sales Support
- Assist the sales team in managing customer communications, quotes, proposals, and order processing
- Maintain and update work management software with bids to customers
- Track and report on sales performance data
- Coordinate sales meetings, take notes, and follow up on action items
- Support with preparing presentations and marketing materials
Executive Assistant to the Director
- Manage the director’s calendar, schedule meetings, and coordinate travel arrangements
- Prepare reports, briefing documents, and presentations for internal and external meetings
- Organize and prioritize incoming communication and tasks for the Director
- Liaise with clients, partners, and internal departments on behalf of the Director
Business Development
- Assist in identifying new business opportunities and researching target markets
- Prepare outreach materials and email blast campaigns
- Maintain a database of potential clients and track outreach efforts
- Coordinate follow-ups with prospects and assist in proposal writing
- Support the Director and BD team in strategy sessions and planning initiatives
- Identify and pursue new sales opportunities through cold calling, networking, and inbound inquiries
- Build and maintain strong relationships with existing and prospective clients
- Conduct product/service presentations and demonstrations
- Prepare and deliver compelling sales proposals and quotations
- Collaborate with internal teams (marketing, customer support, etc.) to ensure customer satisfaction
- Stay informed on industry trends and competitor offerings
Qualifications:
- Proven experience as an Executive Assistant or similar role.
- Strong communication skills—verbal and written—with a warm, professional phone presence.
- Ability to build and maintain positive relationships with clients and colleagues.
- Proficiency in Microsoft Office Suite and Google Workspace
- Basic proficiency in Adobe Photoshop, Mailchimp and Basecamp is preferred but not required.
- Excellent organizational and multitasking abilities.

Office hours: Open Monday - Friday - 8:30am - 5:00pm
