Job Summary: The Shipping Clerk / Logistics Dispatcher plays a critical administrative role in ensuring accurate, timely, and compliant outbound and inter-site shipments. This position serves as the coordination hub between warehouse operations, transportation providers, customer service, and internal systems. The role requires strong attention to detail, disciplined execution, and the ability to manage multiple priorities in a fast-paced distribution environment. This position builds on proven, traditional shipping practices while supporting a modern, technology-enabled logistics operation.
Minimum Qualifications:
- High school diploma or GED required; associate degree preferred
- 2+ years of experience in shipping, logistics, dispatch, or warehouse administration
- Strong working knowledge of WMS/and or TMS systems
- Preferred working experience in a distribution center, warehouse, or manufacturing environment
- Experience working with ERP systems (ex. Sage, SAP, or Oracle)
- Prior exposure to carrier management or freight coordination
- Familiarity with intersite transfers, plant shipping, or 3PL coordination preferably
Skills/Abilities:
- Proficiency in Microsoft Office (Excel, Outlook, Teams)
- Strong attention to detail and data accuracy
- Ability to work in a fast-paced environment
Essential Functions and Responsibilities:
Shipping & Dispatch Coordination
- Build, release, and dispatch outbound and intersite shipments in the WMS/TMS
- Schedule carrier pickups and coordinate dock appointments
- Ensure accurate shipment documentation (BOLs, labels, packing lists)
- Confirm loads are properly tendered, dispatched, and closed in systems
Administrative & System Support
- Maintain accurate shipment data across WMS, TMS, and ERP platforms
- Validate shipment details including quantities, weights, and destinations
- Resolve shipment discrepancies, delays, and exceptions
- Support daily shipping reports, dashboards, and KPI tracking
Communication & Cross-Functional Support
- Serve as a primary communication link between warehouse, transportation, and customer service teams
- Provide real-time status updates on shipments and exceptions
- Escalate issues promptly with clear facts and proposed next steps
- Support intersite and plant-to-DC movements as required
Compliance, Accuracy & Continuous Improvement
- Ensure all shipments meet safety, customer, and regulatory requirements
- Follow standard operating procedures (SOPs) and work instructions
- Identify process gaps and recommend improvements
- Support audits, inventory controls, and documentation accuracy
Physical Requirements:
- Ability to sit, stand, and walk throughout the workday
- Occasional extended hours to support peak shipping activity
