Job Summary
Responsible for the smooth day-to-day operations of a fast-paced headquarters office, providing administrative, database, event, and facility support to staff and leadership. This role supports organizational objectives through effective office management, database administration, member services, and coordination of classes, meetings, and large-scale events.

Key Responsibilities

  • Serve as internal administrator of the Association Management System, ensuring data accuracy, reporting, and best practices.
  • Manage member records, registrations, payments, reports, and participation tracking.
  • Provide administrative and project support to executive leadership and board-related initiatives.
  • Oversee office operations, facilities, technology, inventory, vendors, and overall workplace appearance.
  • Act as primary receptionist and central point of contact for visitors, calls, and mail distribution.
  • Coordinate logistics for training classes, meetings, and special events, including registrations, materials, catering, setup, and reconciliation.
  • Support large events with registration, check-in, materials preparation, onsite logistics, and breakdown.

Skills & Requirements

  • Highly organized with strong attention to detail and ability to manage multiple priorities.
  • Flexible, proactive, and comfortable adapting to last-minute changes.
  • Strong customer service mindset and collaborative team approach.
  • Comfortable learning and using new systems and technology.
  • Ability to lift up to 50 lbs. and assist with event setup and breakdown.
  • Reliable transportation required; occasional evenings, weekends, holidays, and local travel expected.
