HR Records Specialist Full Time
 

Salary Range: $24/hr. - $29/hr.

The HR Records Specialist serves as an integral member of the Human Resources team with primary responsibility for maintaining compliant, accurate, and confidential employee records throughout the employment lifecycle. This position supports key HR operations including onboarding, employee relations, HRIS data integrity, and performance management processes.

Key Responsibilities

  • Serve as an active member of the HR team, promoting a high level of customer service to employees and management.​
  • Assist with the facilitation of the new hire onboarding process by reviewing and auditing all new hire documentation and personnel files for completeness and compliance with organizational policies and applicable laws.
  • Ensure timely collection, verification, and secure storage of all required onboarding documents (e.g., I‑9s, licenses/certifications), following established record retention standards.
  • Maintain and update electronic and hard‑copy employee records to ensure accuracy, completeness, and confidentiality in accordance with legal and regulatory requirements.
  • Monitor and track required professional licensure, certifications, and credentials for applicable positions, ensuring renewals are obtained and documented prior to expiration; notify leaders and employees of upcoming deadlines.
  • Respond to routine employee and manager inquiries related to personnel files and HR processes, escalating complex issues to appropriate HR staff.
  • Support the annual performance evaluation process by tracking completion, maintaining related documentation within employee records, and ensuring required forms and acknowledgments are accurately filed.
  • Assist in preparing audit-ready documentation and reports related to employee records, performance evaluations, and compliance activities.

 

Qualifications:

Associate’s or Bachelor’s degree in business administration or human resources preferred or equivalent related experience. Minimum of 1-3 years of previous HR, records management, or administrative experience, preferably in a high-volume environment. Proficient with Microsoft Office Suite. Excellent interpersonal, teamwork, and communication skills (both verbal and written). Detail oriented with the ability to multitask in a fast-paced environment.
