Job Description

The New Patient Scheduler position is to connect with new patients referred to the practice and schedule new patient visits.

  • Answer and return all new patient incoming calls in a professional manner within the instructed timeframe.
  • Receive incoming faxes from referring providers and connect with potential new patients within instructed timeframe.
  • Appropriately manage multiple incoming calls and record communication in Excel.
  • Enter all referral patients into Excel.
  • Send medical records to providers for review and approval before scheduling, as instructed.
  • Verify eligibility with patients’ insurance carriers.
  • Schedule new patient exams, reschedule when needed.
  • Work with Hospital Coordinator to schedule appointments following hospital discharge.
  • Accurately create a patient chart in the Electronic Health Record with the patient's demographics.
  • Collect patient’s insurance information and enter accurately into the Electronic Health Record.
  • Send new patient welcome email and make reminder phone calls/e-mails/messages.
  • Ensure intake forms are completed and submitted.
  • Ensure medical records are filed in patient chart.
  • Check voicemail messages from Front Desk during peak hours.
  • Adhere to confidentiality, state, federal, and HIPAA laws and guidelines with regards to patient’s records.

Qualifications:

  • High school diploma or GED certificate
  • Prior administrative or customer service experience
  • Strong communication skills, both written and verbal
  • Attention to detail and problem-solving ability
  • Previous experience with insurance verification and eligibility
