Job Description:
Our Office Receptionist serves as the first point of contact for customers, visitors, and vendors, creating a professional and welcoming office environment. This role is responsible for managing front desk operations, handling incoming calls and correspondence, supporting escrow and title processes, and assisting with general administrative tasks to ensure smooth daily office operations.
This is a fully in-person position located at our Napa, CA office.
Key Responsibilities
Answer multi-line phones, transfer calls, and greet customers and visitors professionally (by name when possible).
Maintain a clean, organized, and welcoming lobby and conference rooms.
Take, deliver, and relay messages accurately and promptly.
Distribute incoming mail and deliveries throughout the day and process outgoing mail.
Prepare overnight and courier packages (e.g., Federal Express and local couriers).
Receipt escrow funds and distribute receipt copies to appropriate parties.
Open new escrows and title orders.
Perform miscellaneous administrative duties as assigned.
Collaborate effectively and professionally with management, employees, and customers via phone, email, video conference, and in person.
Knowledge, Skills, and Abilities
Basic computer proficiency, including Microsoft Office Suite and Outlook.
Positive, upbeat personality is important
Strong organizational skills with exceptional attention to detail.
Ability to prioritize, multitask, and meet deadlines in a fast-paced environment with tight time constraints.
Ability to work independently using sound judgment and initiative.
Clear, professional, and grammatically correct written and verbal communication skills.
Demonstrated professionalism, courtesy, and responsiveness to internal and external customer needs.

Position's Pay Range:
