Discover Staffing is seeking a detail-oriented and customer-focused Office Coordinator/Scheduling Assistant to support daily operations, scheduling, and client communication for a client located in Alpharetta, GA. This role requires strong follow-up skills, accuracy, and the ability to manage multiple moving parts in a fast-paced environment. The ideal candidate is friendly, organized, and comfortable communicating with clients, contractors, and vendors.

Key Responsibilities:

Order Tracking & Follow-Up

  • Review orders in Excel spreadsheets to identify completed and pending jobs.
  • Contact stores to confirm completion status of orders.
  • Update spreadsheets accurately to reflect progress and completion.
  • Follow established procedures for orders that are incomplete, ensuring consistent follow-up.

Scheduling & Vendor Coordination

  • Schedule installers for client projects.
  • Submit vendor quotes for management approval.
  • Set up vendor cards (V-cards) for newly approved vendors.
  • Proactively reschedule appointments if cancellations occur.

Client & Office Support

  • Answer incoming calls and make outbound calls to clients and vendors.
  • Provide friendly, professional customer service to restaurants and retail clients (including national accounts).
  • Assist with general administrative and office duties as needed.

Accounts & Reporting

  • Work within Excel to track remodels, installations, and project progress.
  • Assist with Accounts Receivable (A/R) processes as needed.
  • Monitor deadlines and ensure consistent follow-up on outstanding items.

Qualifications

  • Strong proficiency in Microsoft Excel.
  • Knowledge of Accounts Receivable (A/R) preferred.
  • Previous administrative, scheduling, or office support experience preferred.
