Position Description: Project Assistants (PAs) provide customer service, operations support, and marketing for the department of Student Engagement & Activities (SEA).

Project Assistants work in a team and perform their duties both individually and collaboratively.

Under the supervision of SEA professional staff, the Project Assistants support student organizations and clubs with event supplies, information, and poster printing. PAs assist with overseeing the department inventory, collecting and entering data, leading marketing and tabling efforts, maintaining social media and website, doing occasional presentations about getting involved on campus, and performing general office work. The PAs also help manage the ILO shared office space, staff the ILO front desk, and oversee multiple storage areas.

Project Assistants gain valuable job skills, including project management, teamwork, web editing, social media management, marketing, budgeting, customer service, time management, and more.

Project Assistants who apply for a second or third year of employment may gain additional marketable skills, including leadership, meeting facilitation, office management, and more.

Student Engagement & Activities (SEA) - Duties & Responsibilities:

  • Contribute respectfully to the diverse and inclusive work environment at UWB and the Student Engagement & Activities (SEA) department
  • Perform outreach to students about SEA programs, events, and services to promote student involvement, and provide current information about campus resources
  • Maintain active, timely communication with advisor(s)/supervisor and team
  • Connect with the UW Bothell student body to find out what different students want and/or need
  • Maintain documents and folders in a shared digital filing system, on the student engagement platform, social media, and other technology assigned by the department
  • Perform clerical duties including documenting and updating processes, data entry, maintaining work calendars, and scheduling meetings
  • Support and staff SEA events and operations as needed. This includes but is not limited to: New Student Orientation, Welcome Week, SEA org support, and large-scale campus events
  • Represent the SEA department at events and as requested by supervisor
  • Support the recruitment of future student leaders during hiring processes

Role-specific duties

  • Support and assist all SEA organizations’ work (Makerspace, Campus Events Board, Club Council, Student Media)
  • Provide information about SEA and related programs, events, and services to students
    • Utilize social media to connect with students
    • Publicize and staff student events as determined by supervisor
    • Assist with development and publishing of website content for SEA department and student organization
  • Promote student involvement:
    • Develop and execute quarterly social media campaign
    • Propose, develop, and manage distribution of SEA promotional materials (swag, flyers)
    • Maintain updated, accurate digital event calendars
    • Support marketing for all SEA organizations
  • Perform office management duties, such as: update job manuals and how-to guides, research and order supplies, receive shipments, process invoices, manage office cleaning schedule, staff front desk, and respond to general inquiries
  • Organize end-of-quarter celebrations for SEA student leaders
  • Respond to and incorporate feedback from supervisor and peers 
  • Collaborate and coordinate with other SEA orgs and campus partners 
  • Participate in budget tracking and co-managing organization’s finances 
  • Evaluate and improve the effectiveness of your work
    • Develop, distribute, and analyze assessments for programs, events, and initiatives
    • Reflect on your job performance, make adjustments and build skills as needed
  • Assist with projects and tasks as assigned by their supervisor

Time Commitments:

1. Work hours

  • 15 hours/week during fall quarter
  • 15 hours/week during winter quarter
  • 10-19.5 hours/week during spring quarter

Hours must be regularly scheduled during business hours of 9 am to 5 pm, Monday through Friday.

Must be available to attend weekly team meetings, 1-2 hours per week, times TBD.

 

Work conditions

  • Most work is in-person, with 2 hours per week of optional remote administrative work with prior approval
  • Virtual work requires use of Zoom, Teams, and other platforms (training provided)
  • Event set up and take down may require lifting boxes and equipment up to 20 lbs
  • Work is completed in a shared, open-office workspace with minimal privacy
  • PAs are provided with an assigned desk and desktop computer

 

Pay Rate:

$21.30 per hour

Pay rate anticipated to increase January 1st, 2027 by TBD amount

Employment Period

March 30th 2026 - June 30th, 2027

In order to be eligible for this position, applicants must be: 

  • Committed to working in a culturally diverse environment

  • A matriculated University of Washington Bothell student
  • Able to commit for the entire academic year, incl. fall, winter, and spring quarters
  • Enrolled in at least 6 credits as an undergraduate student or at least 5 credits as a graduate student each quarter of employment
  • Able to work in person (percentage of in-person work depends on position)
  • Able to participate in quarterly trainings - dates listed below (subject to change):
    • Fall: September 9th-October 7th  2026 (this includes residential move in assistance and welcome events)
    • Winter: Friday, January 8, 2027
    • Spring: April 2, 2027
    • Additional trainings, as determined by supervisor 
  • In good standing with UWB. Good standing is defined as: 
    • Must have a 2.5 cumulative and quarterly GPA 
    • Must be in good judicial standing (student conduct) 

Required Qualifications: 

  • Experience in leading a team of volunteers or peer student leaders on large projects 
  • Basic working knowledge of event, workshop, and/or meeting planning 
  • Strong interest in contributing to the mission of SEA: offering meaningful engagement to students and advocating for social justice 
  • Strong interest in working in a diverse team, navigating different viewpoints, and making balanced group decisions  
  • Strong interest in improving campus and the UWB community for students 
  • Ability to manage multiple projects and tasks, prioritize effectively, follow through on commitments, and meet deadlines 
  • Ability to take initiative, proactively identify problems and creative solutions, and make informed decisions 
  • Computer skills: ability to use email, Zoom, Canvas, Microsoft Word, and PowerPoint  
  • Presentation skills: able to convey information in a clear, concise, and compelling way 
  • Research skills: able to independently find relevant, accurate information online and in person 
  • Written communication skills: able to convey information in a focused, coherent, and accurate way  
  • Collaboration experience (class project, work experience, personal) 
  • Demonstrated ability to hear and consider different perspectives 

 

Preferred Qualifications:

  • Experience with inventory and organizing supplies
  • Experience successfully planning and executing events
  • Intermediate presentation skills
  • Graphic design skills
  • Ability to learn new technology quickly
  • Interest in any kind of design. Artistic skills are a plus
  • Some IT/web skills, marketing/outreach, customer service/retail experience
  • Experience working with hands-on arts and crafts
  • Involved in other student organizations
  • Experience with one or more of the following are a plus:
    • Sewing / embroidery
    • Cricut
    • Electronics / embedded design
    • Woodshop environments
    • 3D printing
    • Machining & power tools
    • 3D modeling
    • Computer Aided Design (CAD)
    • CNC milling
    • Social media, marketing, event-planning
