As an Office Administrator 2, you will join our team in our Woburn, MA office, with regular support of our Boston office one day per week where you’ll play a key role in delivering vital infrastructure projects across the Northeast. What You’ll Be Doing

As a valuable part of our team, as an Office Administrator 2, you will support a variety of projects and gain hands-on experience with responsibilities such as;  

  • Support proposal and business development activities, including coordination, tracking, and delivery of proposals
  • Schedule and support meetings, trainings, and events, including room setup, video conferencing, and food coordination
  • Assist with onboarding activities, including workspace setup and first-day logistics
  • Manage office supplies and equipment, including ordering, stocking, and coordinating with vendors as needed
  • Support day-to-day office operations by assisting with facilities, cleaning services, and basic maintenance coordination
  • Help maintain shared office spaces, including kitchens, conference rooms, and common areas
  • Perform occasional local errands and deliveries, including proposal deliveries, post office and UPS runs and travel between offices
  • Serve as a primary point of contact by greeting visitors and answering incoming phone calls
  • Assist with mail distribution, including incoming and outgoing correspondence
  • Provide general administrative support, including document preparation, formatting, copying, scanning, filing, and recordkeeping

 

What You’ll Need  

  • 2+ years of experience in an office administration or similar role
  • Transportation and a valid driver’s license
  • Associate degree in a related field preferred
  • Proficiency in Microsoft Office and related software 
  • Strong written and verbal communication skills
  • Professional, friendly, and collaborative approach
  • Ability to make independent decisions and manage multiple priorities
  • Strong problem-solving skills and attention to detail
